About the Role

Columbia-Greene Community College is seeking a highly skilled and detail-oriented Associate Registrar to join our team in the Office of Records and Registration. As a key member of our administrative staff, you will play a critical role in ensuring the smooth operation of our records and registration processes.

Key Responsibilities
  • Deputize for the Registrar as needed and provide support in the day-to-day operations of the Office of Records and Registration.
  • Supervise the Records and Registration window and provide support to students, faculty, and staff.
  • Manage staffing and virtual office hours to ensure accessibility for students.
  • Oversee student leaders and provide customer service training and professional development opportunities.
  • Process changes of curriculum, incomplete grades, and transcript notations.
  • Assist with end-of-semester processing and coordinate communications with faculty, staff, and students.
  • Coordinate degree applications, awarding of degrees, and diploma distribution.
  • Advise the Registrar on policy and process development to improve the student experience.
Additional Responsibilities
  • Serve as the College's DegreeWorks administrator and chair the Degree Works Working Group.
  • Provide immediate oversight to the DegreeWorks platform and ensure its functionality, maintenance, and ongoing development.
  • Identify exception processing trends and make recommendations for potential changes to the Registrar.
  • Coordinate with IT and Academic Advisement to maintain the accuracy and functionality of degree audits.
  • Remain up-to-date on updates and upgrades to the platform and coordinate their installation.
  • Provide ongoing training to faculty, staff, and students on the use of the platform.
Liaison and Coordination
  • Act as the liaison between the Office of Records and Registration and the Office of Advising, Career, and Transfer Services.
  • Serve as the primary point person for the non-matriculated student population.
  • Supervise the transfer credit evaluation process and transfer credit process.
  • Maintain and update course equivalency catalogs between CGCC and other colleges and universities.
  • Develop and maintain Credit for Prior Learning catalogs in coordination with departments heads and Academic affairs personnel.
  • Develop and update student educational plans in line with curricular developments and Guided Pathways.
Additional Duties
  • Serve as a bridge between Academic Affairs and the Office of Records and Registration.
  • Coordinate approved curriculum changes within DegreeWorks and facilitate appropriate testing.
  • Assist the Registrar in academic calendar creation and maintenance.
  • Serve as the College's Veteran Students Certifying Official.
  • Certify student veteran documentation and liaise with the Department of Veteran Affairs when appropriate.
  • Lead reporting efforts, including re-approval documentation and applicable surveys.
  • Develop and maintain a transfer equivalency and credit for prior learning databases for military personnel.
Qualifications
  • Bachelor's Degree or three to five years of experience in Records and Registration environment preferred.
  • Ability to work well within an increasingly diverse environment.
  • Excellent written and verbal communication skills.
  • Excellent computer skills with a strong attention to detail and ability to process data accurately.
  • Ability to learn and process information quickly, accurately, and reliably.
  • Ability to maintain confidentiality of records and information.
  • Proficient understanding of all Federal and State regulations related to records management.
  • Proficiency working with relevant technologies, software, and systems (e.g. Banner, OnBase, DegreeWorks, National Student Clearinghouse).
