Job Overview

This role is responsible for overseeing and managing the Information, Documents, and Records (IDR) program within the organization.

The position entails ensuring that both internal and external documents and records are accurately maintained, following the established Records and Information Management System (RIMS) retention schedule.


Key Responsibilities:


1. **Implementation of IDR Program:**
Develop and execute the Company's IDR initiatives to guarantee a consistent approach to the management of information, documents, and records from their inception or receipt through to processing, distribution, organization, storage, retrieval, and final disposition.


2. **Document Accessibility:**
Ensure that the most current versions of IMS documents are readily available, easily identifiable, and accessible to all staff, with quarterly updates reflecting any changes.


3. **Document Change Management:**
Oversee document modifications to ensure alignment with the Company management system, ensuring that all necessary stakeholders have completed their reviews and approvals.


4. **Revision History Management:**
Maintain the revision history for all IMS documents, ensuring that the latest versions are accessible to document owners as required.


5. **Records Oversight:**
Supervise the inventory of records in both short-term and long-term storage, ensuring proper storage, retrieval, and destruction in accordance with the retention schedule.


6. **Leadership and Support:**
Provide functional leadership to domestic and international document controllers and records coordinators, ensuring that processes are up-to-date and executed uniformly.


7. **Policy Development:**
Formulate, update, and enforce policies, standards, and procedures related to the management of Information, Documents, and Records.


8. **Collaboration with IT:**
Work alongside Information Technology (IT) to enhance the information architecture that supports the management of both physical and electronic records across the organization.


9. **Training and Consultation:**
Conduct training sessions on internal record management databases and provide guidance to customers regarding records retention authority to uphold the integrity of the Company's information management systems.


10. **Compliance:**
Adhere to all Company policies, standards, and procedures while undertaking additional duties and special projects as assigned.
