*Our work schedule operates on a 9/80 format (9-hour days from Monday to Thursday, alternating Fridays off, with 8-hour days on opposite Fridays). This is a full-time, on-site role, initially offered as a temporary position with the potential for transition to a regular full-time employee after a specified period.

Key Responsibilities:
Enhances the quality, timeliness, and effectiveness of the team; exercises discretion to adjust work practices and processes to achieve optimal results or enhance efficiency.

Completes tasks with minimal supervision.

Manages calendars and independently organizes appointments.

Screens incoming communications and responds independently in most cases.

Drafts memorandums that outline and clarify administrative procedures and policies for supervisory personnel, ensuring compliance.

Coordinates complex programs, events, or conferences by securing venues and catering services, disseminating information or invitations, coordinating speakers, and managing event budgets.

Oversees the meticulous preparation of records such as agendas, notices, minutes, and resolutions for departmental meetings, ensuring confidentiality.

Transcribes dictation; composes and prepares confidential correspondence, reports, and other intricate, statistical, and technical documents.

Creates and maintains complex and confidential databases and spreadsheet files.

Organizes detailed travel plans and itineraries.

Books travel arrangements and compiles necessary documents for travel-related meetings.

Completes daily, weekly, and monthly tasks, reports, and projects.

Prepares and processes expense reports for reimbursement for various team members.

Coordinates catering for meetings, including morning, afternoon, and evening reservations as needed.

Maintains office supplies and kitchen/break room provisions at the facility.

Distributes mail.

Undertakes additional tasks as directed by local leadership.

Basic Qualifications:
Bachelor's degree or equivalent preferred.

  • 8+ years of relevant administrative experience.
Ability to thrive in a fast-paced, adaptable environment.

Self-motivated with the foresight to complete tasks efficiently.

Strong communication skills (both verbal and written).

Customer service-oriented, capable of interacting with various levels of staff and personalities.

Ability to maintain confidentiality.

Proficient in multitasking and prioritization.

Intermediate to advanced proficiency in MS Office, particularly Word, Excel, and PowerPoint.

Compensation Range (USD):
$45,150 - $64,500 annually. The displayed salary range reflects the minimum and maximum for this position across all US locations. Individual pay is determined by work location and additional factors, including job-related skills, experience, internal equity, and relevant education or training.
