We are seeking a dedicated Office Support Specialist to enhance our operations.

The Office Support Specialist is responsible for a variety of administrative functions, ensuring smooth office operations and providing essential support to the Office Administrator and team members.

Key Responsibilities:

In collaboration with the Office Administrator, you will undertake the following tasks:

  • Manage phone calls, messages, and faxes
  • Welcome and direct visitors, clients, and vendors courteously
  • Organize and maintain office filing systems efficiently
  • Input time sheets and production records into the accounting system
  • Complete Project Setup forms
  • Scan and attach backup documentation to relevant files
  • Monitor inventory of office supplies and place orders as needed
  • Oversee the maintenance of office equipment
  • Handle mail distribution and shipping tasks
  • Coordinate with building management as required
  • Provide word processing support when necessary
  • Assist with IT inventory management
  • Support team members on various projects as needed

Qualifications:

  • Minimum of two years of professional experience
  • Proficient in Microsoft Office applications
  • Experience with Adobe software
  • Strong data entry skills
  • Detail-oriented with excellent communication abilities
  • Effective time management skills and capability to prioritize tasks
  • Strong written and verbal communication skills
  • Able to adapt to changing priorities and client needs
