Job Title: Assistant Project Manager

Milrose Consultants LLC is seeking a highly motivated and organized Assistant Project Manager to join our team. As an Assistant Project Manager, you will provide administrative support to our Project Managers and Senior Project Managers, ensuring the smooth execution of projects.

Key Responsibilities:

  • Assist Project Managers with project requirements and submittals, follow up calls for project statuses, and perform due diligence and create checklists.
  • Prepare municipality documents for submission of filings, permits, objections, variances, etc.
  • Prepare submittal packages and transmittals of municipality approval packages for issuance to contractors, clients, or other persons as specified by Senior PM/PM.
  • Review all new job folders and gather all necessary information required for production of forms.
  • Submit projects over the counter (if needed) and keep track of changes in the project progress.
  • Update spreadsheets regularly with project status and coordinate with the Senior PM and PM to help plan and coordinate project activities to ensure the attainment of objectives and schedules.
  • Act as the Senior PM/PM backup and be the backup contact for the client and update the client on project milestones.
  • Complete project deliverables and ensure quality control, schedule appointments with Department of Buildings Plan Examiners, and update WAVE/Asana regarding receivables, project updates, and billing triggers.
  • Follow up on and track all paperwork and plans in a timely manner, adhere to company's standard operating procedures to successfully execute tasks, and notify PM or SPM of any problems that arise during a project to work towards resolution.
  • Process applications by generating required paper or electronic submission for issuance and tracking with contractors, clients, and design applicants, and track applications on municipal agency portals for filing, permit or sign-off as required.
  • Act as filing representative as needed and perform additional duties as needed.

Requirements:

  • Bachelor's degree or two years of comparable experience required; experience as a Construction Administrative Assistant or Assistant Project Manager preferred.
  • Strong communication skills, both oral and written, are a must as are solid listening skills.
  • Must be a team player with strong initiative, a desire to learn, and able to complete tasks independently on a project as directed by manager or Senior Project Manager.
  • Degree in Construction Management, Architecture, or Engineering is preferred.
  • Must possess strong organizational and problem-solving skills along with the ability to multi-task and work independently.
  • Knowledge of Microsoft software.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is occasionally required to sit; stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Compensation:

Milrose Consultants LLC is committed to fair and equitable compensation practices. Salary ranges are determined through alignment with market data. Base salary offered is determined by several factors including the candidate's experience, qualifications, and skills.

Annual Salary Range: $62,000.00-$66,000.00 USD

Expected Hours of Work
This is a full-time position who is regularly scheduled to work at least 40 hours per workweek.

Travel
Travel to client site or municipal agency as expected for this position. Associate may be required to attend meetings at the discretion of management and/or if it is project related.
