Role Summary

We are in search of a highly organized and motivated Administrative Staffing Coordinator to enhance our expanding team. This role is essential in providing support to our staffing recruiters. You will assist the Director of Staffing and other recruiters with various administrative functions. The ideal candidate will be capable of managing multiple tasks in a dynamic environment and will appreciate the variety that each day brings.

Key Responsibilities

  • Assist the Director of Staffing by reorganizing and optimizing departmental training materials, scheduling meetings, preparing reports, and managing recruitment projects along with other administrative duties (20%)
  • Coordinate with global partners and clients for interview scheduling, crafting engaging job descriptions, following up with candidates and clients, and performing additional administrative tasks as needed (20%)
  • Facilitate interview coordination for recruiters (40%)
  • Support the Director with reporting tasks, including weekly audit reports, recruiting metrics, and ad hoc reports (10%)
  • Carry out additional administrative and operational tasks as required (10%)
  • Manage Applicant Tracking System (ATS): Ensure candidate information is accurate and up-to-date in the ATS
  • Provide constructive feedback and suggestions for enhancing recruitment processes and improving candidate and client experiences

Qualifications & Skills

  • 2-10 years of experience in roles such as Administrative Assistant, Executive Assistant, Recruiting Coordinator, or similar positions supporting fast-paced teams
  • Experience with high-volume scheduling, including familiarity with scheduling across different time zones
  • Experience supporting multiple executives or similar internal team members
  • Proficient in sending calendar invites via Outlook and scheduling virtual meetings
  • Familiarity with job postings and some knowledge of LinkedIn
  • Strong communication skills with candidates, stakeholders, and internal team members
  • Proactive attitude with a willingness to go the extra mile to support the team
  • Ability to anticipate challenges and opportunities, developing strategic plans to address them proactively
  • Experience with ATS and HubSpot, or similar systems, with the ability to quickly learn new tools
  • Strong troubleshooting skills, creativity, and the ability to multi-task effectively in a fast-paced environment
  • Excellent organizational skills with a systematic approach to tracking tasks and projects
  • Basic proficiency in Excel for report generation and basic functions
  • Experience in roles requiring daily follow-ups, reminders, and calendar management
  • Bonus: Previous experience supporting recruitment processes
