Position Overview:

As a vital member of our team, you will provide comprehensive administrative support for our facilities, which may encompass data management, system enhancements, and payroll processing. You will be responsible for confirming client appointments and updating schedules with the latest client information, ensuring that team members are informed of daily appointments and routes. Additionally, you may assist with onboarding processes, including paperwork and training for new hires.

Your role will also involve supporting both office and field teams as necessary.

Key Responsibilities:

  1. Conducts daily system closeout procedures, entering data related to time spent at client locations, mileage, updating client records, processing payroll weekly, and maintaining the accounts payable system with current invoices.
  2. Updates and organizes schedules with new client information, ensuring team members are equipped with daily appointments and routes.
  3. Coordinates sales opportunities and generates additional revenue through supplementary services such as refrigerator, oven, and window cleaning, as well as disinfection services.
  4. Facilitates the onboarding process for new hires, including paperwork and orientation.
  5. Ensures compliance with HR regulations at the branch, managing associate files, I-9 documentation, bulletin board postings, payroll, and annual safety training.
  6. Handles incoming calls and directs them to the appropriate personnel.
  7. Confirms client appointments effectively.
  8. Prepares laundry for the upcoming day.
  9. Maintains inventory of cleaning supplies and equipment.
  10. May deliver supplies to teams as needed.
  11. Conducts quality control checks and/or follow-up calls with clients.
Education and Experience Requirements:
  • High school diploma or equivalent (GED) with a minimum of 2 years of experience in customer service.
Knowledge, Skills, and Abilities:
  • Strong personal time management and organizational skills.
  • Excellent verbal and written communication abilities.
  • Reliable and adaptable, capable of thriving in a fast-paced work environment.
  • Ability to travel to client locations as required.
  • Proficient in reading and understanding cleaning instructions provided in customized service reports.
  • Familiarity with Microsoft Office applications (Word, Outlook, PowerPoint, Excel).
