Role Summary

The After-Sales Coordinator will act as a crucial link between the Sales Department and Production. This role involves managing shipping schedules and coordinating the logistics for all sold vehicles, chassis, and interior kits. The coordinator will also oversee warranty claims, ensuring all necessary customer and vehicle information is accurately recorded and communicated. Close collaboration with the sales team, administration, and management is essential to address any arising issues effectively.

Reports to: Client Experience Manager

Key Responsibilities

• Serve as the main point of contact between Sales, Production, and external carriers to facilitate smooth vehicle deliveries and warranty claim processing.
• Coordinate and confirm shipping timelines, ensuring timely preparation and loading of vehicles for customer delivery.
• Maintain comprehensive records of warranty claims, including customer details, vehicle specifications, parts identification, and claim progress.
• Communicate with customers regarding delivery options and provide regular updates on vehicle status and warranty claims.
• Analyze warranty claim data to identify trends and provide management with actionable insights.
• Collaborate with the quality control team to address recurring part defects and enhance product reliability.
• Negotiate shipping costs with carriers to optimize expenses while ensuring high service quality.
• Continuously assess and improve shipping processes to enhance operational efficiency.

Essential Duties

• Schedule and coordinate vehicle transport to ensure timely pick-up and delivery.
• Monitor vehicle completion timelines and communicate any delays to relevant stakeholders.
• Provide weekly updates to customers regarding the status of in-production vehicles.
• Oversee relationships with third-party repair facilities during the warranty process.
• Work with technicians to evaluate warranty claims and identify potential defects.
• Prepare regular reports on warranty claims for management review.
• Coordinate with internal departments to ensure efficient parts flow throughout the supply chain.
• Address shipment discrepancies, such as damaged parts or delivery delays, promptly.
• Communicate with carriers to arrange transportation and negotiate shipping rates.
• Continuously evaluate shipping operations for efficiency improvements.

• Valid driver's license and dependable transportation.
• Background check and pre-employment drug screening required.

Education and Experience Requirements

• High School diploma or equivalent.
• Experience in a logistics or similar role.
• Familiarity with CRM and project management software.
• Knowledge of QuickBooks is a plus.

Physical Requirements

• Ability to lift and carry items up to 50 pounds.
• Must wear required Personal Protection Equipment.
• Capable of operating various office equipment.
• Frequent standing and walking required.
• Ability to navigate through different departments.
• Frequent bending, stooping, and reaching required.
• Ability to work in varying temperatures.
• Must be able to operate a motor vehicle safely.
