Senior Manager - Record Retrieval Operations

Records On Time LLC is seeking a highly skilled and organized Senior Manager to oversee our record retrieval operations. The successful candidate will possess a robust background in team leadership, process enhancement, and ensuring superior service delivery. This position requires a strategic thinker capable of managing cross-functional teams, boosting operational efficiencies, and maintaining our dedication to providing precise and timely records. The Senior Manager will report directly to the COO and will be tasked with ensuring that the entire records team exceeds their Key Performance Indicators.

Key Responsibilities:
  • Lead, mentor, and develop a team of record retrieval leads and specialists to achieve performance objectives and deliver outstanding client service.
  • Formulate and implement strategies to refine record retrieval processes, minimize expenses, and enhance turnaround times.
  • Evaluate operational metrics to pinpoint areas for improvement and take necessary actions.
  • Work collaboratively with sales, customer service, and IT departments to optimize service offerings and effectively meet client requirements.
  • Keep abreast of industry trends, regulations, and best practices to ensure compliance and operational excellence.
  • Foster a culture of innovation, continuous improvement, and teamwork within the record retrieval division.
  • Prepare regular reports and presentations on departmental performance and initiatives for senior management and clients.
Qualifications:
  • Bachelor's degree in Business Administration, Operations Management, or a related field (advanced degree preferred).
  • Expertise in record retrieval software and familiarity with relevant technologies.
  • Knowledge of legal and medical record retrieval processes and regulations is advantageous.
Essential Skills:
  • A minimum of 3 years of experience in a managerial position within the record retrieval or call center sector.
  • A proven history of effective team management and operational success.
  • Strong analytical abilities with the capacity to interpret data and offer strategic insights.
  • Exceptional communication, leadership, and interpersonal skills.
  • Ability to excel in a fast-paced, dynamic environment and swiftly adapt to changing priorities.
