POSITION SUMMARY: Reporting to the Senior Director of Food Operations and Sales, this role is pivotal in managing all procurement and inventory oversight within the commercial kitchen environment. The individual will collaborate with suppliers, place orders, monitor deliveries, and reconcile invoices for all kitchen-related acquisitions. Additionally, this position ensures that each cooking area receives the necessary ingredients from the warehouse to support daily menu production. The Procurement Coordinator will also liaise with cook/chill operations and clients to guarantee timely delivery of finished products. This role is essential in maintaining sanitation standards and compliance with procedural requirements, thereby supporting workplace safety and regulatory adherence for commercial clients.

KEY RESPONSIBILITIES:

  1. Manage the procurement of goods valued at approximately $3-5 million annually for kitchen operations.
  2. Adhere to budgets for raw food, meal supplies, and other necessary items for meal production and delivery.
  3. Generate orders based on menu requirements. Learn to operate pull sheets two weeks in advance to ascertain orders, verify their accuracy, and document any necessary corrections.
  4. Train to place all orders through the designated procurement system and communicate order specifics to the Receiving department.
  5. Ensure that orders comply with vendor requirements to maximize discounts wherever feasible.
  6. Collaborate with the Senior Director to maintain food costs within established budgetary limits.
  7. Identify slow-moving or expired items monthly and report findings to the Senior Director, suggesting potential utilization strategies.
  8. Daily verification of receipts with the warehouse to address shortages, quality concerns, or substitutions, following up with vendors as needed.
  9. Prepare pull reports for all menus 3 to 4 days prior to production, confirming inventory availability and promptly communicating any issues to the Senior Director and Production Manager.
  10. Oversee purchasing, customer service needs, and menu planning for assigned programs.
  11. Negotiate with suppliers to secure optimal pricing and service agreements.
  12. Compile and submit timely reports to relevant departments.
  13. Assist in addressing inquiries and providing customer service for all commercial clients.
  14. Support menu development in collaboration with the registered dietitian for programs requiring dietary approval.
  15. Ensure that menu costs align with budgetary and nutritional standards.
  16. Adhere to all food safety protocols, including compliance with dietary requirements and HACCP principles.
  17. Keep the Senior Director and Production Manager informed of any pertinent issues or changes.
  18. Cross-train team members to provide backup for procurement functions.
  19. Complete additional tasks and responsibilities as assigned.

EDUCATION AND EXPERIENCE:

  • Associate's Degree or 1-3 years of purchasing experience in a high-volume food service environment. Other combinations of education and experience may be considered.
  • Must achieve ServSafe Certification with a minimum score of 75 points within the initial 90 days of employment.
  • Proficiency in computer applications, including procurement systems and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills, along with sound business acumen.

PHYSICAL REQUIREMENTS:

  • Ability to remain stationary and move between locations as needed.
  • Frequent operation of equipment and computers.
  • Regular extension of body, arms, or hands to perform essential duties.
  • Occasional ascending/descending to complete tasks.
  • Consistent communication and information exchange.
  • Ability to perceive objects over moderate or long distances.
  • Capability to distinguish various odors when preparing meals.
  • Occasional lifting and transporting of objects weighing up to 50 pounds.
