POSITION OVERVIEW:
The Epic Operations Supervisor is responsible for managing all facets of the Epic system across various departments, ensuring that both staff and patient concerns are resolved effectively. This role involves spearheading initiatives to maximize the utilization of Epic and to create workflows that enhance efficiency while minimizing waste, redundancy, and staff burden. The Epic Operations Supervisor will act as a conduit between clinical requirements and technical solutions, guaranteeing the smooth integration and operation of Epic's electronic health records (EHR) and other healthcare IT systems.
KEY RESPONSIBILITIES:
- Serve as the main point of contact between staff, internal IT teams, and executive leadership. Promote communication and collaboration among Epic superusers, builders, and IT personnel. Manage Builders and prioritize their tasks. Regularly relay information from management to staff.
- Collaborate with staff to formulate and revise an annual strategic plan for Epic, outlining objectives, metrics, and timelines. Prioritize projects for builders and IT teams.
- Conduct regular meetings to identify and resolve issues, gather user feedback, and develop implementation plans for changes. This includes leading the Epic committee and representing the organization in relevant steering committees.
- Oversee the rollout and integration of Epic system updates and modifications. Manage the configuration, customization, and integration of Epic modules (Ambulatory, Willow, Revenue Cycle, MyChart). Ensure compatibility with other healthcare IT systems and oversee testing post-upgrades.
- Design, coordinate, and implement training programs for new and existing staff on new features. Provide ongoing support for staff.
- Coordinate, develop, and supervise the execution of new Epic workflows.
- Manage MyChart, Chart Correction, In-basket pools, and Epic optimization and administration, including issues related to Medical, Social, and Finance.
- Monitor tickets submitted to the IT team to ensure they are addressed properly. Escalate urgent issues as necessary and triage tickets that can be resolved internally.
- Identify opportunities for optimizing the Epic system, utilizing analytics and staff feedback. Establish best practices for system usage and data management. Foster consensus among staff on effective system utilization.
- Strong technical skills with the ability to translate clinical needs into technical solutions.
- Experience in project management and leadership roles.
- Proficiency in data analysis, reporting tools, and healthcare IT standards.
- Bachelor's or master's degree or equivalent experience in nursing, public health, health informatics, or a related field with clinical experience preferred.
- Initial familiarity with Epic, with a commitment to gaining in-depth knowledge, and certification in Epic modules (Ambulatory, Willow, MyChart) preferred. Experience in Epic build/optimization is a plus.
- Ability to work collaboratively with a multidisciplinary team, including medical providers, nurses, behavioral health clinicians, finance, and practice management staff.
- A commitment to community empowerment and respect for the cultural diversity of the patient population.
- Ability to resolve complex issues by leveraging personal expertise and collaborating with team members.
The Epic Operations Supervisor operates within a community health center located in a business district. Extended hours may occasionally be required.
PHYSICAL DEMANDS:
Physical requirements include lifting small equipment and assisting with patient lifting, not exceeding 50 pounds. The role primarily involves standing and walking. Visual acuity sufficient for frequent reading and hearing acuity adequate for conversation is necessary.
