Position Summary:
This role is essential in delivering exceptional care to patients within the clinic and through various communication channels. Healthcare Support Specialists play a crucial role in assisting medical professionals, acting as a bridge between patients and healthcare providers, and managing reception and patient portal responsibilities as required.

Reporting Structure:
This position reports directly to the Medical Assistant Manager. There are no subordinate roles under this position.

Key Responsibilities:

  • Familiarize yourself with the preferences of healthcare providers and the established conditions of patients.
  • Understand the Patient-Centered Medical Home model.
  • Distribute patient agendas effectively.
  • Conduct medication reconciliation during each visit, including over-the-counter medications.
  • Gather comprehensive family and social histories.
  • Assist in transitioning patients from the waiting area to examination rooms.
  • Measure vital signs, obtain recent test results, and clarify the purpose of the visit.
  • Prepare patients by collecting all necessary information.
  • Report any notable changes in a patient's condition or behavior.
  • Set up examination rooms for practitioners.
  • Perform basic procedures in accordance with established medical policies.
  • Administer vaccinations, draw blood, conduct EKGs, and fulfill other provider requests.
  • Engage in quality assurance initiatives to enhance patient care standards.
  • Complete relevant forms or growth charts prior to the practitioner’s assessment.
  • Assist in examinations, diagnostic assessments, and treatment procedures.
  • Input requisitions into the Electronic Medical Record (EMR) system.
  • Prepare and dispatch specimens as needed.
  • Maintain stock levels in treatment rooms and clinical areas, notifying the Practice Administrator of supply needs.
  • Ensure cleanliness and organization of examination rooms, hallways, and laboratory areas.
  • Adhere to established standing orders as necessary.
  • Facilitate various procedures including spirometry, audiometry, blood pressure checks, allergy shots, urinalysis, and drug screenings.
  • Attend all staff meetings and contribute to team discussions.
  • Provide support to colleagues as required.
  • Comply with professional office standards and policies.
  • Participate in unit-based quality improvement initiatives when appropriate.
  • Conduct laboratory tests as necessary.
  • Maintain a safe and healthy work environment by following established protocols and legal regulations.
  • Adhere to personal protective equipment requirements to safeguard against exposure to potentially infectious materials.
  • Prepare and administer medications and injections as directed by the provider.
  • Ensure timely communication of test results to patients.
  • Collaborate closely with the clinic's medical director, physicians, nurses, care managers, and other healthcare providers.
  • Comprehend and apply HIPAA regulations regarding patient privacy and information security.
  • Manage patient registration and activation of individual portal accounts.
  • Assist patients in troubleshooting portal-related issues.
  • Schedule patient appointments and follow-up visits efficiently.
  • Handle incoming and outgoing phone communications.
  • Facilitate patient intake and checkout processes.
  • Collect copayments at the time of service.
  • Create triages within the EMR system.
  • Manage patient information within the Electronic Medical Records system.
  • Participate in scheduled late-night, weekend, and holiday rotations.
  • Perform additional duties as assigned.

Qualifications:

  • Preferred prior experience in healthcare (1-3 years).
  • Experience as a Medical Assistant in a clinical setting is advantageous.
  • High school diploma or equivalent is required.
  • Completion of a Medical Assistant or Nurse Aide program is mandatory.
  • Certification as a Certified Medical Assistant (CMA) or Certified Nurse Aide (CNA) is preferred.
  • Basic Life Support/CPR certification is required.
  • Strong written and verbal communication skills, along with excellent interpersonal abilities.
  • Proficient in electronic medical records systems.
  • Computer literacy is essential.
  • Ability to work independently and collaboratively within a team.
  • Flexibility to work varying hours, including evenings, weekends, and holidays.
  • Capability to thrive in a fast-paced environment.
  • Sound judgment and decision-making skills.
