Position Summary

The Construction Project Financial Specialist plays a crucial role in supporting project teams by managing the financial aspects of subcontractor agreements and ensuring timely processing of invoices.


Key Responsibilities

  • Facilitates the processing of monthly pay applications from subcontractors, ensuring all necessary project documentation is submitted, including sworn statements and conditional waivers. Validates contract values and executed change orders before routing invoices for project team approval.
  • Accurately processes vendor invoices and ensures they are routed to the appropriate approvers, adhering to payment schedules as part of weekly check runs.
  • Collects and monitors compliance documents, such as certified payroll records and subcontractor waivers, to maintain project integrity.
  • Manages subcontractor payments upon receipt of funds, ensuring compliance with Holland's Sworn Statement and confirming with project teams before releasing payments.
  • Tracks and verifies lien waivers from subcontractors and suppliers, generating necessary documentation based on project-specific requirements.
  • Handles weekly field payroll processing efficiently.
  • Submits union reports on a monthly and weekly basis as required.
  • Generates and distributes Holland Certified Payroll reports to project owners, tailored to specific project needs.
  • Processes employee expense reimbursements, ensuring timely generation of checks and electronic payments.
  • Maintains open communication with subcontractors and suppliers, addressing vendor inquiries promptly.
  • Records and deposits all cash receipts as owner payments are received.
  • Sets up new vendors in the ERP system, ensuring compliance with W-9 requirements and 1099 reporting standards.
  • Maintains organized accounting records by storing all relevant documents within an electronic filing system.

Education and Experience

  • A minimum of 2 years of experience in the construction sector, with a solid understanding of construction management processes is typically required.

Physical Demands and Working Conditions

  • Effective communication is regularly required.
  • Physical activities include sitting, standing, walking, climbing stairs, and occasionally lifting up to 10 lbs, as well as pulling and/or pushing.
