Job Opportunity

The Property Management Assistant plays a vital role in supporting our Site Staff to deliver exceptional customer service to our residents and board members.

Key Responsibilities

• Draft and disseminate communications and documents to management, residents, and board members in a timely and efficient manner.
• Manage incoming and outgoing communications from various stakeholders, including Portfolio Managers, Site Staff, Board Members, Residents, Accounting, and Team members.
• Maintain accurate and up-to-date condominium documents, including contracts, regulations, phasing, violations, and related correspondence.
• Provide administrative and customer support to Portfolio and Community Managers, including coordinating monthly meetings, facilitating maintenance requests, scheduling appointments, and unit owner requests.
• Offer administrative assistance to residents during the sale and/or refinancing of unit(s) and modification requests/approvals.
• Collaborate with Portfolio Managers and the board of directors as a business partner and advocate for residents.
• Manage databases for assigned properties and provide backup support to the receptionist as needed.

Requirements

Background, Skills, and Abilities

• 2-3 years of experience in a fast-paced environment and a two-year degree preferred.
• Strong communication skills (written and oral) and high levels of attention to detail, initiative, accountability, and adaptability.
• Ability to meet deadlines, multitask, and build strong relationships at all levels: team members, site staff, residents, and board members.
• Proficiency in Microsoft Office and experience with property management databases would be an asset.
• Ability to pass a background screen that includes a drug test.
