About the Role

The Office Manager will be responsible for a range of tasks, including managing medical records, operating and coordinating the management information system, maintaining accounting and budget records, and performing reception activities. You will also have the opportunity to develop your skills in areas such as electronic health records, database management, and customer service.

Key Responsibilities

The Office Manager will:

  • Manage medical records and maintain accurate and up-to-date records
  • Operate and coordinate the management information system to ensure efficient data entry and retrieval
  • Maintain accounting and budget records, including tracking expenses and preparing financial reports
  • Perform reception activities, including triaging calls and coordinating communication between participants and clinical staff
  • Handle routine correspondence, including responding to emails and phone calls
  • Assist with the organization and filing of petty cash funds, metro cards, P-card receipts, and vendor invoices
  • Order and distribute supplies for the program
  • Open, sort, and distribute mail
  • Take minutes at all Youth ACT meetings and prepare them for review, edit, and approval by the Youth ACT Director/Team Leader
  • Oversee fee processing and work closely with fiscal, purchasing, and facilities teams to ensure compliance with agency policies
  • Conduct periodic audits of data entry to ensure accuracy and determine staff understanding of procedures
