Job Summary

Ogletree Deakins is seeking an experienced Practice Assistant to join our team in Charlotte, NC. As a key member of our office, you will provide administrative support to our attorneys and paralegals, ensuring the smooth operation of our practice.

Key Responsibilities
  • Document Preparation: Prepare and process correspondence, memoranda, and complex legal documents using word processing and document management software.
  • Mail Processing: Review and route incoming mail and fax communications, and prepare and process outgoing mail and faxes.
  • Calendar Management: Maintain and update calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
  • File Maintenance: Maintain paper and electronic files in compliance with internal policies, and perform routine filing and retrieval of files as needed.
  • Timekeeping: Prepare time entries for assigned attorneys and submit in a timely manner.
  • General Administrative Support: Provide administrative support to attorneys and paralegals, including preparing and processing new matter documents, receiving and screening phone calls, and coordinating travel arrangements.
Requirements
  • 10+ years of experience as a practice assistant or legal secretary
  • Knowledge of legal terminology, legal documents, and legal processes
  • Accurate typing of at least 70 words per minute
  • Strong computer proficiency in the use of MS Office, document management, time entry, e-filing, and database software
  • Excellent communication skills, written and verbal
  • Understanding of correct grammar, spelling, and punctuation
  • Strong proofreading skills
  • Superior organizational skills, including filing, calendaring, and proofreading
  • Time management skills and ability to work independently as well as with a team
  • Regular predictable attendance
  • Must possess leadership qualities
