As a pivotal figure in our organization, you will oversee the comprehensive management of designated events, ensuring the seamless execution of all activities and services within a vibrant multi-functional venue. Your leadership will guide Event Managers in the successful orchestration of private and special events across various locations. You will collaborate closely with sales, culinary teams, and venue leadership to explore innovative event strategies and fresh culinary concepts. This role reports directly to the General Manager.
Key Responsibilities
- Oversee the entire lifecycle of assigned events while providing guidance to Event Managers in the planning and coordination of their respective projects. Ensure all banquet event orders and event specifics are accurate and effectively communicated.
- Act as the primary liaison with potential clients, planners, and vendors, managing inquiries regarding availability, conducting site assessments, preparing budget estimates, and clarifying venue policies and best practices.
- Serve as the main point of contact for rental and special event clients from confirmation through to completion, delivering exceptional customer service. Collaborate with clients to develop comprehensive project plans that meet their specific objectives and requirements, including detailed timelines and spatial layouts.
- Work in tandem with internal departments and vendors to foster creative development and enhance events and special projects. Clearly communicate objectives related to marketing, scheduling, staffing, and equipment needs to ensure successful outcomes.
- Engage with clients prior to events to align expectations and ensure all objectives are met, addressing any guest or maintenance issues as necessary.
- Identify and maximize upsell opportunities, providing coaching and training to Event Managers and service teams to drive revenue growth.
- Ensure timely submission of all invoices and documentation to the Accounting department, maintaining adherence to deadlines. Responsible for collecting all payments prior to events and upholding procedural documentation to meet internal accounting standards.
- Analyze event budgets and expenditures to pinpoint areas for cost savings and efficiencies. Negotiate vendor pricing and rental agreements.
- Collaborate with sales and venue leadership to effectively manage the event calendar, optimizing utilization, revenue, and operational efficiencies.
- Partner with the Senior Banquet Captain to deliver necessary training to service staff, covering customer service, serving etiquette, and new food and beverage offerings.
- Uphold and communicate all corporate standards, guidelines, policies, and procedures in compliance with local, state, and federal regulations. Maintain personal integrity by supporting the company’s values and principles.
- Perform additional duties as assigned.
Education
- Bachelor's degree in Business, Hospitality Management, or a related field, or equivalent experience.
- Minimum of 5 years in food and beverage or event planning and production.
- Proven experience in supervising and leading teams.
- Familiarity with restaurant management principles and equipment is advantageous.
- Experience with event management systems such as Tripleseat is preferred.
- Exceptional interpersonal, written, and verbal communication skills.
- Demonstrated ability to manage multiple projects with varying deadlines.
- Strong attention to detail and superior organizational skills.
- Able to inspire and motivate team members to deliver outstanding service.
- State Alcohol Education Card required upon hire.
- Certified Food Safety Manager certification required within 90 days of hire.
- Completion of Crowd Management training upon hire.
- Valid driver's license with a satisfactory driving record required.
