Overview

The Community Operations Supervisor is accountable for overseeing the daily management of a specific residential community or a collection of communities within a designated area. This role is pivotal in fostering a cohesive team environment aimed at achieving shared objectives. The supervisor is responsible for managing residential properties on behalf of clients, executing various tasks either directly or through subordinate staff. Key responsibilities encompass budgeting, ensuring workplace safety, financial oversight, marketing strategies, operational management, human resources, and enhancing the overall value of the property as a real estate investment.

Core Responsibilities

Essential duties include, but are not limited to:

Operational Management

  • Conduct weekly inspections of all facilities, maintaining detailed records and ensuring necessary corrective actions are implemented.
  • Promote and uphold safety protocols within the community, ensuring the effectiveness of the Community Safety Program.
  • Facilitate monthly safety meetings with staff to reinforce safety practices.
  • Collaborate with the Regional Property Manager regarding housing violations and any resident-related issues.
  • Ensure compliance with Fair Housing policies and that all required notices are displayed as per regulations.
  • Follow emergency protocols and promptly notify management and authorities in case of emergencies.
  • Assess vacated units to determine necessary repairs and approve readiness for new residents.
  • Manage inventory levels for supplies and coordinate with maintenance staff for property upkeep.
  • Oversee contractor performance and communicate any concerns to the Regional Property Manager.
  • Ensure proper completion and renewal of lease agreements.
  • Maintain cleanliness and organization in all office spaces.
  • Ensure equipment is functional and coordinate repairs or replacements as needed.
  • Keep common areas well-maintained and address safety hazards immediately.
  • Communicate policy changes to relevant staff members.
  • Report property or liability insurance claims promptly.
  • Maintain organized procedure manuals for staff reference.
  • Assist in resident eviction processes in accordance with legal directives.
Human Resource Management
  • Recruit, train, and develop top talent within the industry.
  • Supervise on-site personnel directly or indirectly.
  • Provide leadership that motivates staff to excel in their roles.
  • Continuously mentor employees towards achieving community and individual goals.
  • Conduct thorough orientations for new hires to ensure understanding of community expectations and safety protocols.
  • Facilitate on-the-job training and professional development opportunities.
  • Evaluate employee performance and organize training as necessary.
  • Recommend promotions for outstanding employees and address performance issues in collaboration with management.
  • Ensure adherence to the Employee Handbook by all staff.
  • Report workplace injuries to HR on the same day they occur.
  • Maintain an up-to-date employee bulletin board with necessary information.
Marketing and Resident Engagement
  • Oversee marketing and customer service initiatives to maximize community visibility.
  • Ensure marketing materials are readily available for outreach efforts.
  • Keep vacant units in pristine condition for potential residents.
  • Manage outreach programs effectively.
  • Regularly assess first impressions of the community and make improvements as needed.
  • Review shopping reports with leasing staff to enhance performance.
  • Analyze sales reports and recommend strategic adjustments.
  • Encourage resident referrals through consistent communication.
  • Contribute to the community's advertising strategy.
  • Analyze market data to inform pricing strategies.
Resident Relations
  • Implement proactive resident engagement programs.
  • Focus on resident retention strategies.
  • Ensure staff delivers exceptional customer service.
  • Supervise resident service initiatives.
  • Facilitate introductions between management and new residents.
  • Address resident concerns that staff cannot resolve and provide recommendations.
  • Respond promptly to resident complaints.
  • Emphasize customer service and professionalism among staff.
  • Follow up with residents post-maintenance to ensure satisfaction.
  • Communicate community updates effectively.
Financial Management
  • Ensure compliance with purchasing policies and vendor approvals.
  • Verify delivery of supplies and satisfactory completion of services before processing payments.
  • Conduct daily bank deposits of received funds.
  • Manage petty cash securely and accurately.
  • Become proficient in all accounting procedures.
Supervisory Responsibilities

The Community Operations Supervisor may oversee several subordinate supervisors responsible for community staff. This role includes directing, coordinating, and evaluating these supervisors while also managing non-supervisory employees directly.

Responsibilities encompass interviewing, hiring, training, assigning work, evaluating performance, coaching, rewarding, and addressing employee concerns.

Qualifications

To succeed in this role, candidates must demonstrate the ability to perform essential duties effectively. The following qualifications are essential:

Education and Experience

An Associate's degree or equivalent experience in a related field is preferred, along with two to three years of relevant experience or training.

Certifications

IREM certification is highly desirable.

Technical Knowledge

Familiarity with laws and regulations governing multi-family housing and employee safety is essential.

Language Skills

Ability to read and interpret business documents and effectively communicate with various stakeholders.

Mathematical Skills

Proficiency in basic mathematical concepts and calculations is required.

Reasoning Ability

Ability to solve practical problems and interpret various forms of instructions is necessary.

Physical Demands

This role requires regular communication, standing, walking, and the ability to lift and move items as needed.

Work Environment

Employees may encounter various weather conditions and moderate noise levels while performing their duties.
