Job Summary

The Tennessee Medical Association is seeking a highly organized and detail-oriented Program Assistant to provide administrative support for the Leadership Programs and Education Department. This is a unique opportunity to join a dynamic team and contribute to the success of the department.

Key Responsibilities

  • Provide administrative support to the Senior Director of Leadership Programs and Education, including drafting and distributing communications, managing mailings, preparing reports, data entry, and maintaining filing systems.
  • Manage daily administrative functions, including scheduling meetings, receiving and routing phone calls, and helping manage the department project calendar.
  • Assist with the preparation and tracking of department invoices and manage department expense reports.
  • Provide committee and board support, including scheduling meetings, drafting and sending communications, making agendas, distributing materials, and preparing meeting minutes.
  • Assist with department meetings and events, as needed.
  • Assist with the Continuing Medical Education (CME) program by maintaining participant data and record collection to ensure proper compliance.
  • Assist the Senior Director with various fundraising efforts.
  • Other duties as assigned.

Requirements

  • Two years of work experience, with preference given to those with nonprofit experience.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required. Experience with membership databases, Cvent, or Jotform preferred.
  • Excellent project management and organizational skills and strong attention to detail.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills and customer service skills.
  • Ability to manage multiple tasks, projects, and priorities effectively and professionally.
  • Some moderate lifting (up to 25 pounds) may be required on an occasional basis.

  • Compensation from $40,000.
