Position Summary

The Logistics Coordinator plays a vital role within the Luna Labs Operations Team, overseeing procurement, logistics, facilities management, information technology, and environmental health and safety functions. The primary focus of this position is on corporate-level logistics operations, with additional responsibilities in facilities management and/or IT support. Key activities include the systematic and electronic processing of laboratory and production supplies and equipment. The role may involve handling hazardous materials, for which Hazmat Ground Shipper Certification (DOT) and Hazardous Waste Management (RCRA) training are advantageous or will be provided. Regular duties also encompass supporting facilities upkeep and IT functions. This position requires self-sufficiency with no direct reports and minimal oversight. Forklift certification is considered an asset.

Key Responsibilities:

Main Duties: Logistics Operations

  • Receive and process incoming deliveries
  • Inspect and confirm the quality of received goods
  • Match incoming products with invoices, shipping documents, and purchase orders
  • Document receipts in the Enterprise Resource Planning (ERP) system
  • Organize received goods by category and facilitate their distribution within the facility
  • Manage and document the handling of perishable and hazardous materials
  • Prepare items for dispatch, generate shipping labels, schedule pickups for outgoing shipments, and track deliveries with various carriers
  • Maintain a tidy and organized receiving area and workspaces

Additional Duties: Facilities Management and/or IT Support

  • Facilities Management
    • Assist with maintenance, repairs, and renovations, including furniture adjustments, light bulb replacements, lock repairs, minor carpentry, small electrical and plumbing tasks, and event setup/cleanup
    • Coordinate with external vendors for facility needs, such as laboratory/office reconfigurations, painting, deep cleaning, and significant repairs
    • Conduct regular inspections to identify maintenance requirements and safety risks
    • Develop and implement preventive maintenance strategies
    • Maintain accurate records of maintenance activities and associated costs
  • IT Support
    • Collaborate with managed service providers to configure new laptops for onboarding
    • Troubleshoot and resolve hardware and software issues
    • Provide training, guides, standard operating procedures, and documentation, often accessible via an internal web platform
    • Perform routine preventive maintenance and minor repairs on peripherals, such as printers, building alarm systems, and communication devices, often in partnership with vendors
    • Act as the webmaster, maintaining multiple websites

Essential Qualifications:

  • Education: High School Diploma or equivalent (GED) required
  • Demonstrated experience in logistics, facilities management, and/or IT support
  • Strong organizational and time management abilities
  • Capability to respond to emergency situations outside of regular hours, as necessary
  • Ability to work independently, prioritize tasks, and solve problems effectively
  • Capacity to collaborate as part of a team
  • Excellent verbal and written communication skills
  • Willingness to travel as required
  • Physical ability to remain active for an entire shift, including climbing ladders and lifting up to 60 lbs
  • Due to regulatory requirements, U.S. Citizenship is mandatory.
