About the Role: The Administrative Assistant works in a busy office environment and must efficiently multitask between various assignments. This position plays a key role in the coordination and distribution of work. Huen Electric also provides design/assist expertise, from the preparation of cost estimates and controls to value engineering and preconstruction planning. Essential FunctionsEnsure all assigned tasks are completed accurately and delivered with high quality in a timely mannerData entry, including setting up jobs in E1 and attaching appropriate documentsObtain compliant project insurancePreparing and submitting subcontracts and work ordersIssue purchase orders and approve vendor invoices in ICObtain appropriate safety documentation for projectsHandle various accounting tasks, such as preparing project billingsUtilize Microsoft Excel for data management and retentionSubmit and file invoicesPreparing RFIs, submittals, and owners manualsReceive, sort, and disperse mail; send USPS, FedEx and UPSOperate office equipment such as fax machines, copiers, scanners, phone systems, and computersAnswer phones, provide basic information, and transfer callers as appropriateEfficiently and professionally manage the flow of people and information through the businessServe clients, vendors, and other walk-in customers by welcoming and directing them appropriatelyRegular and predictable attendanceOther duties as assignedEssential functions of this position are to be performed in a Company-designated officeUnderstand and comply with the Company’s Code of Business Conduct and Ethics Policy and other industry-specific professional and ethical standards, if applicable About You: QualificationsMinimum 5 years of general administrative experienceHigh school diploma required, BS preferredKnowledge/Skills/AbilitiesAbility to maintain a high level of confidentialityWorking knowledge of JD Edwards/payroll system moduleStrong working knowledge of Microsoft Word and ExcelSuperior organizational skills and the ability to prioritize multiple responsibilities while supporting managementExcellent attention to detailSelf-starter with a good attitudeAbility to maintain a professional appearanceFlexibility to work in various locations throughout the week What We Offer: Compensation & BenefitsSalary Commensurate with experience, paid weekly.
