Sepro America is on the lookout for an energetic Operations and Administrative Specialist who will play a pivotal role in ensuring the smooth operation of our office environment and providing outstanding customer service. Responsibilities:

Administrative Duties:

  • Oversee day-to-day office operations, including the upkeep of office supplies, equipment, and facilities.
  • Welcome visitors warmly, manage incoming calls, and deliver top-notch customer service.
  • Maintain both electronic and paper filing systems efficiently.
  • Answer calls, serving as the first point of contact for customers, and ensure their needs are addressed promptly.
  • Draft memos, letters, and other forms of correspondence.
  • Log activity from customer calls in our CRM software and transfer calls to technicians for specific issues.

Customer Service:

  • Promptly answer customer phone calls, providing helpful and courteous assistance.
  • Log detailed activity from customer interactions in our CRM software to ensure thorough follow-up and support.
  • Efficiently transfer calls to the appropriate technicians to address technical issues or further inquiries.

General:

  • Organize company events, meetings, and conferences to foster a collaborative and engaging work environment.
  • Engage in cross-functional collaboration to enhance processes and workflows, contributing to the overall efficiency of our operations.
  • Handle confidential and sensitive information with the utmost discretion.
  • Adhere to legal regulations and company policies to ensure a safe and compliant workplace.
  • Prepare for and assist in the training of staff, enhancing team capabilities and performance.
  • Perform other duties as necessary, adapting to the evolving needs of Sepro America.

Requirements:

A minimum of 3 years of experience in office administration, with a strong emphasis on customer service.

Proficiency in Microsoft Office Suite and experience with CRM software.

Exceptional communication skills, both in verbal and written form.

Solid analytical, problem-solving, and organizational abilities.

Capable of multitasking and prioritizing tasks effectively in a dynamic environment.

A professional and amiable demeanor.
