Position Title: Human Resources Office Coordinator

Department: Human Resources

Reports To: Assistant Vice President of Human Resources

Classification: Non-exempt FTE: 1.0 Date: June 2024 Pay Range: $20.35-$22.40/hour

Essential Job Duties:

  1. Provide administrative and project support to the Human Resources team
  • Assist with variety of tasks and projects related to Human Resources and to the HCM, Oracle
  • Greet and assist faculty, staff, students and visitors
  • Assist with creating processes
  • Manage and create a variety documents and spreadsheets; perform administrative tasks for onboarding and offboarding staff (e.g. complete I9 forms, track receipt of background checks)
  • Provide logistical support as needed for the Human Resources Department
  • Be flexible to adjust priorities and thrive in a fast-paced environment where the requirements change regularly with the impending implementation
  • Oversee ongoing retention of documents in accordance with rules and regulations
  • Partner on Workers' Compensation issues with EH&S team
2. Supervise a team of student workers
  • Hire, train, and lead student employees working in HR; approve timecards
  • Assign and oversee administrative tasks assigned to student workers
  • Provide administrative support to Assistant Vice President for Human Resources and the Human Resources Associate Directors
  • Arrange meetings, manage calendars, prepare reports, and schedule appointments
  • Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
  • Complete and meet deadlines for required training and performance management cycle
  • Perform other duties as assigned

Work Schedule:

Term: Full-time, year round

Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors

Required Qualifications:

Education: High school diploma

Experience: Experience with coordinating multiple projects or tasks at once, familiarity with Excel, accurate entry of information into databases, strong customer service and listening skills, and excellent organizational and time management skills

Preferred Qualifications:

Education: College degree

Experience: Experience in human resources, employee relations, student affairs, or higher education

Prerequisites:

Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College. Please note that St. Olaf College reserves the right, at its sole discretion, to conduct periodic background checks.
