Executive Assistant to the CFO

The Executive Assistant to the Chief Financial Officer partners with the CFO to provide the business process support required for the effective operations of the Administrative and Clinical staff of the university. Performs advanced administrative oversight and project management roleswhere results are timely, high quality, and accurate. Handles a wide range of tasks, wears multiple hats, and works independently with little or no supervision.
Project Management & Coordination (70%)
- Maintains frequent contact with CFO's direct reports including Business Office, Marketing, IT, HR, Facilities, Clinical Operations, Physicians and Medicinary.
- Coordinates quarterly goals of the CFO and team members.
- Works closely with the Office of the President of the University and other Executive leaders.
- Prioritizes conflicting needs, handling matters expeditiously and proactively. Follow-through on projects to successful completion, often with deadline pressures.
- Manages and ensures appropriate and timely follow-up on internal and external requests for information or action.
- Maintains Risk Management timeline and deliverables as required to meet University objectives and insurance requirements
- Coordinates budget process, financial reviews and performance tracking dashboards.
- Assists with the preparation of quarterly reports employee groups, Finance Committee, Executive Committee, and full Board of Trustees.
- Problem solves and triages issues brought to the office of the CFO. Evaluate, analyze challenges to the Office and propose creative and effective solutions for optimizing CFO Office administration.
- Works closely with CFO and internal and external stakeholders to prioritize and plan meetings and activities.
- Build and nurture key relationships across Sonoran with employees, students and external audiences to provide a bridge for smooth communication with the CFO's office.
- Manages the collection, organization, and filing of financial, and legal records.
- Monitors institutional compliance.
- Demonstrate leadership in all interactions to maintain credibility, trust, and support. Maintain the utmost discretion and confidentiality for the work of the CFO.
- Creates Word, sophisticated PowerPoint and Excel presentations, charts, and reports with a strong attention to accuracy and detail.
- Keep the CFO informed of upcoming commitments and responsibilities, following up appropriately. Ensure the CFO is given and reviews all necessary materials in preparation for meetings and other activities, and that he or she remains on track for activities and events that occur during the day.
- Attend and provide administrative support for meetings led by the CFO and take minutes. Circulate meeting materials in advance to attendees. Ensure that materials, agendas, timelines, and ongoing communication are all coordinated and follow ups are resolved.
Education/Experience Requirements
Associate's degree or an equivalent combination of education and experience required. Minimum five years of related professional administrative work experience that includes experience in providing scheduling and special assistance to executive level staff of an organization/office. Must be authorized to work for any employer in the U.S.
Knowledge/Skill Requirements
Demonstrated ability to deploy high-level judgement, discretion, and hold confidentiality. The ability to think ahead and plan proactively in a dynamic, evolving, and fast paced environment. Ability to lead with curiosity to attain the information and perspectives required to produce deeply value-added work. A tactful and mature demeanor with ability to interact with all levels of internal and external stakeholders, especially deploying excellent written and oral communication skills. Acute attention to detail and relentless commitment to follow-through. Strong project management skills; self-starter; cooperative and flexible. A demonstrated ability to work independently as well as with a team.
Proven experience leading special projects and initiatives with university-wide or organizational-wide scope.
Financial background preferred.
Strong proficiency with Microsoft Excel, Word, PowerPoint.
Experience in preparing documents and presentations for the Board of Trustees and Executive teams.
Position Location: This position requires three to four days a week of in-person work onsite on our Tempe, AZ campus, depending on the needs of the office.

Working Environment: In Office
Activities are performed in an environmentally controlled office setting subject to extensive periods of sitting, keyboarding and manipulating a computer mouse. Required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling of up to 25 pounds.
