The Online Programs Admissions Counselor is responsible for the recruiting efforts of the Harrisburg University’s recently launched fully online undergraduate and graduate programs. The admission counselor proactively contacts all prospects from all marketing and recruitment channels and guides them through all stages of the recruitment process to meet established enrollment goals. This position will also be responsible for covering regional events within Pennsylvania to help advance the mission of enrolling non-traditional students in a variety of fields and pathways.
The counselor role dedicates all efforts to contacting and cultivating relationships with prospective students via phone, email, text, and other outreach daily and maintains prospect information in the University’s customer relationship management system (CRM). The position serves as the first point of contact to support and guide prospective students through the recruiting process and requires active engagement through phone conversations, social media, e-mails, texts, print materials and other emerging technologies. Recruitment is the primary responsibility of the position. Additionally, the counselor must also enter and maintaining accurate data in software systems, process and review applications and assist with the daily operations of the admissions office.
WORK HOURS
The university workweek is Monday through Friday. Most offices are open Monday through Friday from 8:30 am to 5:00 pm. In order to accommodate the University's business needs, employees will be required to work outside regular working days and/or hours, including evenings and weekends. This position would be expected to be present at the Harrisburg University main campus in Harrisburg, PA at least 3 days a week.
POSITION REQUIREMENTS
- Bachelor’s degree or equivalent work experience, Master’s preferred.
- One to three years of successful experience in higher education recruitment or sales; experience recruiting either in-person or remote students preferred
- Experience recruiting and tabling at in-person college fairs or events where prospective students are present
- Experience with presenting to groups of in-person prospective students
- Familiarity with traditional and non-traditional adult learners
- Exceptional interpersonal and tele-communication skills; must be able to effectively communicate with a wide range of populations: prospective students, peers, functional area leaders, and
- Build effective recruiting relationships with a diverse constituency
- Demonstrate attention to detail, excellent written and verbal communication and strong time management and organizational skills
- Demonstrate ability to develop effective working relationships with faculty, campus officials, staff, and community agencies and schools and students from diverse backgrounds
- Strong work ethic and drive to work independently and initiate plans with a high level of energy, flexibility, and creativity
- Experience managing admissions communications funnels from inquiry to start
- Knowledge of admissions, financial aid and scholarship process preferred
- Valid driver’s license and reliable transportation (reimbursement will be provided)
- Proficiency in Windows and Microsoft Office computer systems, knowledge of computer databases and receptive to the use of new technology while also able to utilize web and social media platforms for recruitment; knowledge of customer relationship management (CRM) a plus
- Must be available to work alternative schedules, including evenings and weekends
- The person in this position frequently communicates via phone and or/Teams with students who have inquiries about the University and its programs; employees must be able to maintain consistent communication productivity.
- Consistently operates a computer and other office productivity tools, such as a calculator, copy machine, and computer printer

- Effectively communicate the University’s online educational offerings and details across a range of degree programs to prospective students in an effort to meet quantitative and qualitative departmental goals for contact, interviews, applications, admitted and enrolled students
- Assist in planning, developing and implementing recruitment strategies designed to increase the number of online and adult learners entering HU’s programs
- Initiate and maintain effective relationships with lead generating entities and prospective students via phone, email, text messaging, printed media, and the internet to provide a high level of customer service as a first point of contact to enrollment
- Follow-up with prospective students to submit applications to the University and provide counsel and support to students throughout each stage of the admission process
- Plan and execute online admission information sessions, on and off-campus events to promote HU’s online programs.
- Ensure accurate and comprehensive data entry into HU’s CRM.
- Work independently and cooperatively with a high-functioning team to assist in the develop of recruitment and marketing strategies to attract and maintain a talented and diverse student body
- Maintain a detailed knowledge of degree programs, including requirements, curriculum, policies and procedures, student and faculty accomplishments and general knowledge about Harrisburg University
- Communicate with faculty and administration to foster good working relationships and provide exchange of new recruitment opportunities and to ensure a consistent and smooth transition from applicant to student
- Work directly with applicants to resolve extenuating circumstances, complaints and appeals of admissions denials
- Handle confidential student information with tact, discretion and in compliance with FERPA regulations
- Assist with on-campus events as needed (workshops, convocation, commencement, welcome back programs, awards ceremonies) and facilitate campus tours to visitors and prospective students
- Prepare reports related to the history and progress of defined enrollment characteristics as needed
- Perform various other duties as needed to support the mission and vision of the University
