Administrative Coordinator

Description: The Administrative Coordinator is responsible for day-to-day administrative and clerical duties. The Administrative Coordinator provides support to the Leadership Group and Human Resources Department for various administrative tasks, including but not limited to coordinating meetings, email notifications, and employee travel. The Administrative Coordinator is a self-starter who is comfortable working independently and is able to handle multiple tasks and assignments simultaneously.Location: Full-time, on-site presence at the Amherst, New York officeMajor duties and responsibilities:Manages day-to-day office operationsServes as a liaison with landlord and cleaning serviceAssists with scheduling meetings and organizing employee travel arrangementsAnswers and routes Frontier Science phone calls, coordinates postage, and distributes mailWelcomes and assists visitors, and follows applicable visitor policiesAssists with special projects and coordinates organization eventsCoordinates onsite pickup and shipping of employee equipmentEmails notifications and enters system tickets for new employees, department transfers, and separations.Assists with the new employee recruitment process, schedules interviews, and completes employment verificationMaintains office and project supply inventoryProvides administrative support for research projects as neededPrepares letters, notices, and flyersWorks with office related vendors to coordinate purchases and services, purchases and maintains office, kitchen, and project suppliesProvides administrative support for offices in Massachusetts and Wisconsin as neededThe responsibilities listed above are not a comprehensive list, and the employee may be asked to perform other professional tasks with reasonable consideration as necessitated by organization demands.Reports to: Director of Human ResourcesControls over position: The Administrative Coordinator will be assigned projects by the Director of Human Resources, as well as other organization leadership members, for administrative related matters.Required qualifications:Associate’s Degree in Business Administration preferred, plus three years of administrative experience or five years of office management experienceDetail oriented and ability to take initiative and work independentlyProficient in Microsoft (MS) Office SuiteStrong organizational and time management skillsExcellent and professional communication skills, both written and verbal.Travel: This position will be based in the Amherst, New York office.
