Job Summary: The Program Assistant provides essential support to program managers and team members in executing The Moore Wright Group's initiatives. This role involves coordinating administrative tasks, maintaining accurate records, and assisting in the planning and implementation of programs focused on housing, re-entry, recovery, food stability, and workforce development. The ideal candidate is detail-oriented, highly organized, and passionate about contributing to impactful programs in the community.

Key Responsibilities
  • Administrative Support
    • Assist in day-to-day administrative tasks, including scheduling meetings, managing communications, and organizing program files and documents.
    • Prepare and distribute program materials, reports, and presentations.
    • Maintain program calendars, track deadlines, and ensure timely completion of deliverables.
  • Program Coordination
    • Support program planning and logistics for events, workshops, and other program-related activities.
    • Coordinate with staff, participants, and external partners to facilitate program requirements.
    • Monitor program timelines, budgets, and objectives, providing updates to the program manager as needed.
    • In collaboration with the other program assistant coordinate the volunteer program.
  • Data Management and Reporting
    • Collect and maintain accurate data on program participants and outcomes.
    • Assist in generating regular reports, including tracking metrics related to program impact and performance.
    • Ensure all data and reports are compliant with organizational and funding requirements.
  • Participant and Community Engagement
    • Serve as a point of contact for program participants, providing them with timely information and resources.
    • Support the social worker, peer support staff, and other team members in addressing participant needs.
    • Assist in community outreach efforts to raise awareness of program services.
  • Compliance and Record-Keeping
    • Ensure accurate and organized record-keeping for program files and participant information.
    • Support the compliance of all program activities with organizational policies and relevant regulations.
Qualifications
  • Education: Minimum of a high school diploma or equivalent; an associate degree or coursework in social services, public administration, or a related field is a plus.
  • Experience: At least 1-2 years of experience in program coordination, administration, or a related role, preferably in a non-profit or social services setting.
  • Skills:
    • Strong organizational and time management skills.
    • Proficiency in Microsoft Office Suite, Google Suite (Docs, Sheets, Slides, Drive), and experience with database management.
    • Excellent written and verbal communication skills.
    • Bilingual abilities are a plus.
    • Ability to work collaboratively in a team-oriented environment.
    • Knowledge of community services in housing, re-entry, recovery, food stability, or workforce development is advantageous.
