Overview

In collaboration with patients, families (as defined by the patient), and staff across all disciplines and departments is responsible for being the first point of contact for patients, staff, and guests presenting at the care site, and performing all the administrative tasks associated with patient check in. Will perform selected clinical duties, including but not limited to patient intake and basic patient care. This position serves special populations in settings where a traditional clinical setting may not be present.

Responsibilities

DUTIES AND RESPONSIBILITIES:
  • Open front office and all duties associated with this function.
  • Schedule patient appointments accurately and efficiently utilizing the computer system.
  • Perform duties such as welcoming, greeting, and assisting patients in a courteous and professional manner.
  • Answer all incoming telephone calls and verify patient information, provide information as necessary, and route the calls as needed.
  • Register all patients by accurately entering the patient demographic and insurance information in the electronic medical system.
  • Verify and ensure completeness of patient registration documentation in the electronic medical system.
  • Review and verify patient coverage of insurance information using online resources.
  • Explain payment options, including sliding scale fees, Medicare, Medicaid, and other forms of payment assistance.
  • Collects deposits or co-payments/deductibles prior to the patient being seen by the provider per company policies.
  • Complete closing and/or end of day processes, including but not limited to, daily posting of collected monies into the electronic medical system and balancing the drawer for end of day deposit.
  • Work with clinical care team to assist with closing gaps in care.
  • Work with HIM department to accurately scan medical documents into the EMR system.
  • Notify appropriate personnel of emergencies, messages, patient arrivals, etc.
  • Accurately document and communicate patient concerns to the site triad leadership team.
  • Participate in appropriate meetings and trainings, as well as adhere to all company policies and procedures.
  • Maintain confidentiality of all patient, clinical, and company information and data. Adhere to HIPAA guidelines.
  • Accurately interview patient; collect patient history; verify current medications; measure vital signs such as height, weight, BMI, head circumference, pulse oximetry level and patient comfort level; and document patient
    data in EMR.
  • Collect, perform, document, and report results of CLIA waived lab tests including, but not limited to, urine dip, pregnancy tests, finger stick blood glucose levels, fecal occult blood tests, rapid influenza tests, and rapid strep
    tests.
  • Collect, prepare, and document specimen collection including, but not limited to, blood, urine, stool, and sputum.
  • Perform clinical duties as assigned including, but not limited to, preparing patients for examinations and /or treatments, assisting provider with exams or procedures, setting up exam or procedure rooms, and preparing
    instruments for sterilization.
  • Complete pre visit planning to support the clinical visit.
  • Administer medications per CUC formulary.
  • Perform medical services as prescribed by Standing Delegation Orders.
  • Dismiss patient at end of clinic visit including completing the visit orders and tasks in the patient plan.
  • Coordinate and manage patient care including communicating test results to patients; assisting with pre-certifications, referrals, authorizations, and prescriptions; scheduling of patients for clinic, hospital, and other
    ancillary medical treatments and tests; and following up on diagnostic tests to ensure that test have been completed and documentation is complete in EMR.
  • Perform surveillance programs of complete medical records including, but not limited to, labs, authorizations,
  • X-Rays, hospital records and any previous care pertaining to each patient visit.
  • Maintain a clean, functional environment by reporting equipment malfunctions to site leadership; organizing storage areas and monitoring for supply expiration as assigned; and cleaning and disinfecting equipment and
    exam rooms; per CUC guidelines.
  • Complete all education, competencies, and updates assigned in the organization's learning management system.
  • As assigned, serve as a scribe by accurately and thoroughly documenting medical visits and procedures as they are being performed by the provider including, but not limited to, the following duties:
    • Patient medical history and physical exam,
    • Procedures and treatments performed by healthcare professionals including nurses and physician assistants.
    • Patient education and explanations of risks and benefits.
    • Provider-dictated diagnoses, prescriptions, and instructions for patient or family members for self-care and follow-up
    • Prepare referral letters as directed by the provider
  • Participate in orientation of new employees and attend mandatory meetings.
  • Work as a high-functioning member of the team, interacting with staff, patients, and the care team to communicate and coordinate patient care and work flow effectively.
  • Performs all duties in an ethical manner consistent with the IMPACT statement.
  • Perform other duties as assigned.

    ADDENDUM
  • In addition to the Medical Assistant position responsibilities and duties, team members acting in the capacity of a
  • Medical Assistant Lead will be responsible for the following assignments and will receive a stipend. The Medical
  • Assistant Lead role is an assignment and not a permanent, regular position.
  • As directed, may assist with monitoring patient flow, managing the vaccine program, preparing recommendations for supply inventory and ordering, and preparing staffing schedules for review and approval by either the Charge Nurse or Nurse Manager.
  • Designated as a "buddy" to provide new employees with:
    • a singular point of contact for general inquiries regarding day to day operational issues, such as locating resources within the unit or site, processing relevant tasks and requests, and accessing or interpreting company policies and procedures.
    • translation of orientation activities into on the job tasks and duties relevant to the position.
    • an experienced team member familiar with our culture, attitude, and expectations who also embodies our IMPACT Statement core values on a day-to-day basis in all interactions.
  • Specialty related job responsibilities, such as sterilization or IRIS, specifically when functioning in that capacity.

  • Under the direction and leadership of a champion, may assist with organizing/leading PDSA's or other projects.
KNOWLEDGE/SKILLS/ABILITIES:

  • Tools, technology, and systems typically found in healthcare environments such as personal computer skills, Microsoft Office Applications (Word, Excel, Outlook), patient record systems, EMR systems, etc.

  • HIPAA and Joint Commission guidelines and regulations

  • Participate in quality strategies to evaluate compliance with evidence-based guidelines and identify opportunities to improve patient outcomes
  • Ensure all tasks associated with patient care and administrative processes such as opening clinic on time, completing CLIA controls, environment of care practices, and HIPAA practices comply with all regulatory and accreditation standards required by The Joint Commission, CommunityCare Standard

Qualifications

MINIMUM EDUCATION:

High School Diploma or equivalent OR
Medical Assistant Diploma and/or National Medical Assistant Certification verifying graduation from a Medical Assistant Program or equivalent military healthcare experience.

MINIMUM EXPERIENCE:

Completion of a medical assistant externship.
1 year of demonstrated experience in an administrative position.
