Office Manager- Dermatology in Sarasota

Essential Duties and Responsibilities:

The Office Manager will organize and coordinate office administration and procedures in our Sarasota office, in order to ensure organizational effectiveness, efficiency, compliance, and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. Our ideal candidate will have prior experience in a medical office as both a manager and medical assistant.

Essential Functions

  • Ensure proper collections for services rendered, copays, deductibles, co-insurance and balances.
  • Manage/correct employee timecards and PTO.
  • Maintain the staffing schedule for office location.
  • Oversee IT within office location and provide low-level basic IT support.
  • Coordinate and oversee all maintenance for office location.
  • Inventory and order all supplies, products and materials for officelocation.
  • Monitor and evaluate office facility continually including maintaining any licenses with expirations, timely updating of marketing materials and monthly specials, OSHA and HIPAA regulations and updates, biohazard regulations and annual inspections.
  • Ensure that all employee manual guidelines are followed by employees and enforce as necessary.
  • Partner with HR to maintain office policies as necessary.
  • Facilitate events including cosmetic events, staff and holiday events, etc.
  • Provide backup as an MA as needed.
Education:
  • Associates or Bachelors degree highly preferred; but may be substituted for Managerial Office experience.
  • High School Diploma or equivalent
Experience:
  • Previous experience in the Dermatology field preferred
  • Familiarity with electronic medical records (EMR) or a willingness to learn
  • Knowledge of patient charting
  • 4 plus years’ experience working in a medical office
  • Excellent written and verbal communication skills
  • Strong attention to detail and well organized
  • Ability to manage multiple tasks
  • Knowledgeable of OSHA and HIPAA compliance
  • Knowledge of medical/dermatology terminology and abbreviations preferred.
Physical Requirements:

Must be able to spend a great deal of the day walking, standing, moving and manipulating equipment, as well as lifting and moving objects, equipment and supplies. It is reasonable to anticipate lifting 20-25 pounds in any given day.
