Summary:
Equal Hope is a non-profit sitting on the Rush University Medical Center Campus. Equal Hope is dedicated to eradicating women's health racial, ethnic and class disparities and is a mission-oriented healthcare justice organization. Equal Hope is seeking a highly organized and proactive Executive Assistant to support the Executive Director in a dynamic and fast-paced environment. The Executive Assistant will play a crucial role in managing the daily operations of the office, providing administrative support, and ensuring the smooth functioning of the organization.

Required Job Qualifications:
• Proven experience as an Executive Assistant or in a similar administrative role.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office suite and other office management software.
• Ability to handle confidential and sensitive information with discretion.
• Detail-oriented and resourceful with a proactive approach to problem-solving.
• Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
• Passion for social justice, diversity, equity, and inclusion.
Preferred Job Qualifications:
• Bachelor's degree in Business Administration or related field
• Experience in database management and data entry is a plus.

Responsibilities:
• Coordinate and manage the Executive Director's calendar, including scheduling meetings, appointments, and travel arrangements.
• Oversee the general operations of the office, ensuring that the office runs efficiently and effectively.
• Handle incoming calls, messages, and inquiries, providing professional and courteous assistance to callers.
• Manage office supplies inventory, place orders, and ensure adequate stock levels for smooth operations.
• Handle incoming and outgoing mail, including sorting, distributing, and processing postage.
• Maintain and update the organization's development database, including donor records and fundraising activities.
• Provide executive-level administrative support to the Executive Director, including preparing documents, reports, and presentations.
• Assist in drafting and formatting communications, memos, and correspondence on behalf of the Executive Director.
• Coordinate logistics for meetings, including preparing agendas, materials, and recording minutes when needed.
• Assist in organizing and executing events, fundraisers, and other special projects as assigned.
