GENERAL DESCRIPTION OF DUTIES

The Teen Court Specialist position is a management support position that includes juvenile case management, record keeping, intake and court preparation, the administering of drug tests to juveniles and assisting in Mock Trial and Teen Court Awards Night planning and preparation. The specialist must be efficient and resourceful with excellent verbal and written communication skills. The fast-paced Teen Court environment requires the specialist to be able to recognize tasks that need to be completed and the ability to complete the tasks independently.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Intake: Greet new families and explain initial intake paperwork; drug test defendants and document results; collect drug test fee and prepare receipts; prepare copies and court date information and give to defendant.
  2. Court: Prepare defendant summaries; prepare court night paperwork; set up courtrooms, attorney rooms and jury rooms; help sign in volunteers and defendants; complete contracts and explain sanctions.
  3. Case Management: Update records weekly; read all essays, apology letters, and workbooks, and other documents from defendant; verify community service hours; call all cases at least once per month; call cases who are near due date or past due date more frequently to try to help defendant complete successfully; prepare Successful, Unsuccessful, and Decline reports. Provide copies to DJJ, SAO, and parents as required. Close out cases and file folders.
  4. Banquet: Help coordinator determine theme and decorations for banquet; send invitations and track RSVPs; help volunteers and coordinator clean and decorate for banquet; organize all awards and prizes; help coordinator distribute prizes and awards to honor volunteers; clean after banquet.
  5. Mock Trial: Attend FSU Undergraduate Mock Trial Tournaments once per year. Help transport and supervise teens on trip. Help coordinator prepare case materials and schedule for Teen Court Mock Trial teams and coaches. Help prepare materials for competition. Attend mock trial and assist coordinator. Post Mock Trial clean up.
  6. The administering of drug tests to juveniles and the handling of urine specimens.
  7. General office duties: Answer phones and answer questions/address concerns of both parents and teens; sign up teens for jury duty and other classes; maintain files according to the Department of Juvenile Justice (DJJ) Best Practices and Florida Statutes, including but not limited to confidentiality rules, storage and destruction; update Excel file for all files which have been destroyed.
  8. Track Volunteer Service hours and prepare service letters.
  9. Call parents to set up new Civil Citations for intake, prepare intake letter and create new case files.
  10. Add new cases and update ACCESS files.
  11. Safely and successfully perform essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  12. Maintain regular, punctual attendance consistent with the ADA, FMLA, other federal, state and local standards and the organization's attendance policies and procedures.
  13. Be able to lift a minimum of 10 lbs and assist with the set-up of tables and chairs as needed for various events.
  14. Other duties and responsibilities as assigned.


EDUCATION AND/OR EXPERIENCE

Education:

Associate's Degree preferred, but not required.

Experience:

Two (2) years working experience with juveniles preferred, but not required.

An equivalent combination of education, training and experience may be substituted at the Clerk's discretion.

Licenses/Certificates:

A valid Florida Driver's License or Florida Identification is required for the hiring process.

JUDGMENT DECISIONS

Ability to work on assignments where common sense and good judgment are essential. Judgment is required to ensure information released to public is not legal advice, is not released without proper authorization, is in compliance with best practices, and is not confidential in nature. Ability to work with and maintain confidential and/or sensitive records, and comply with legal advice restrictions for the Clerk's office as well as state and federal guidelines.

LANGUAGE SKILLS

Superior communication, initiative and organization skills with the ability to apply sound judgment are required. Ability to read, analyze and interpret general business periodicals. Ability to write business correspondence. Excellent knowledge and usage of grammar, punctuation and sentence structure is required when preparing written communication.

MATHEMATICAL SKILLS

Ability to apply general mathematical concepts.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions.
