ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Type and transcribe correspondence, pleadings, reports, documents and other confidential materials as necessary.
  • Prepare corporation documents with Secretary of State’s offices.
  • Maintain departmental files and law library.
  • Receive visitors to the area and assist them as necessary.
  • Prepare check requests and process legal bills for payment, track payments; prepare and update legal expenses spreadsheet, track overdue legal bills for payment, and send packets to get new vendors set up for accounting.
  • Answer telephones and direct calls appropriately.
  • Coordinate Legal and Compliance meetings.
  • Arrange domestic travel itineraries using Stephens Travel and Transport system and submit expense reports in a timely manner.
  • Anticipate future travel needs and troubleshoot travel related issues (e.g., weather delays) and proactively addresses issues before they become a problem for team members.
  • Proactively manage business calendars for meetings, appointments, calls, invitations, luncheons and travel, by anticipating needs, adjusting for conflicts, and ensuring all logistics (including materials, location, timing, etc.).
  • Schedule meeting and make arrangements for meeting site; prepare meeting schedules; secure equipment, if required; notify attendees; schedule caterer and select menu; prepare materials, etc.
  • Perform miscellaneous duties such as photocopying, scanning and faxing and provide backup for the department.
  • Perform other tasks as assigned by management.
EDUCATION AND/OR EXPERIENCE
  • Associate’s degree in a related field.
  • 3+ years of related experience and/or training.
  • Legal experience preferred.
  • Equivalent combination of education and experience.
