Position Summary:

The Administrative Assistant primary function will be to provide administrative and general office support to the Sr VP in a demanding and dynamic environment requiring advanced skills and significant experience. They must have the ability to manage multiple projects and priorities in a fast-paced environment and possess a professional telephone and interpersonal demeanor as well as advanced written and communication skills. They will play a critical role in facilitating communications for various senior leaders and will serve as a point of contact while handling administrative processes and tasks.

Duties and Responsibilities:

  • Proactively solves moderately complex problems and interacts with other departments to resolve issues.
  • Represents the Sr VP by attending meetings in the Sr VP's absence; speaking for the Sr VP.
  • Serves as liaison between Executive Leadership Team and Sr VP and between others within and outside the company regarding administrative issues.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; gathers data and creates spreadsheets, presentations and reports on any aspect of finance operations.
  • Conserves Sr VP's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Heavy gate keeping responsibilities with media personnel and other outside constituents seeking direct communication with the Sr VP and other Executive Leadership Team members.
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.
  • Maintains Sr VP's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Answers and screens telephone calls for the Sr VP and other Executive Leadership Team members; takes messages, provides information, or redirects calls as appropriate.
  • Assists in the planning and execution of meetings and events.
  • Handles highly sensitive and confidential information regularly and requires high discretion.
  • Prepares and processes expense reports.
  • Other duties as assigned.
Qualifications - External

Education/Certification:
  • High school diploma or equivalent required; some college preferred.
Experience:
  • Minimum of five years of administrative support including at least three years of executive support experience; preferably supporting a Section 16 Officer of a publicly held company.
Skills:
  • Financial acumen preferred.
  • Strong interpersonal skills with the ability to maintain highly confidential information.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong detail orientation (i.e. report preparation, etc.).
  • Strong bias for action where work prioritization and schedule management is concerned.
  • Significant experience demonstrating strong gate keeping ability.
  • Ability to read and interpret applicable documents, materials, policies, procedures, etc. as presented in English
