Personnel and Administrative Services Analyst

Under the direction of the Civil Law Division Staff Services Manager, the SSA provides a full range of analytical duties as personnel liaison and record retention coordinator for the Division. As one of three analysts acting as the personnel liaison, the incumbent will be responsible for all personnel-related functions of their assignment roster and will work directly with section management staff on all personnel-related matters. Such functions include, but are not limited to, tracking section personnel staff and salaries on the Division's personnel database, updating and maintaining organizational charts and various rosters, reviewing and/or preparing various personnel documents such as promotions-in-place, processing transfers and reclassification requests, and handling the work study program. Incumbent will also be responsible for overseeing record retention and file destruction of Division files, drafting outside counsel letters for CAAG and CDAG approval, and acting as Training Coordinator for a division in excess of 700 members. Incumbent may also perform other general administrative tasks and provide back-up assistance to other staff within the Civil Law Division's Executive Unit.

Working Conditions
In-office attendance will be required up to two days a week. In-person attendance may be required for meetings, trainings, and operationally as needed. Advance notice will be provided when possible.

- Please note that the Staff Services Analyst classification contains multiple salary ranges. New-to-State employees will be given the minimum salary Range A, unless you meet Alternate Range Criteria 69 as follows:
o Range B. This range shall apply to persons who have satisfactorily completed the equivalent to six months of Staff Services Analyst (Range A) or Staff Services Analyst, Fair Political Practices Commission (Range A), or Management Services Technician (Range B), and may apply to persons who have the equivalent of six months of satisfactory experience outside of State service performing analytical duties similar to those of a Staff Services Analyst.
o Range C. This range shall apply to persons who have graduated from a recognized four-year accredited college or university; or who satisfactorily completed the equivalent of 12 months of Staff Services Analyst (Range B) or Staff Services Analyst, Fair Political Practices Commission (Range B), experience; and may apply to persons who have the equivalent of 18 months of satisfactory experience outside the State service performing analytical duties similar to those of Staff Services Analyst .

The incumbent must have strong analytical skills. The incumbent is expected to consistently exercise the highest degree of initiative, and independence in performing his/her duties. Good judgment, effective communication and strong organizational skills are essential, as is the ability to communicate effectively both verbally and in writing and work independently and cooperatively with others. Must be dependable, have good attendance and demonstrate good working habits. The incumbent must be able to work well under pressure and perform multiple tasks with accuracy, precision and neatness. Must work effectively with all levels of staff and be able to meet deadlines and adjust to changing priorities. The incumbent must be a self-starter with a positive attitude and be able to assume other duties as necessary. Must have good computer skills. Knowledge of Excel, Microsoft Word, Adobe Acrobat, ProLaw and Windows is desired.
