Parkvue Community The Administrative Assistant is responsible for performing tasks and duties as directed by the Executive Director and in accordance with prescribed policies and procedures and supporting Administration.

Essential Functions Statement(s)

  • Prepares invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
  • Answers phone calls and direct calls to appropriate parties or take messages
  • Performs general office duties, such as ordering supplies and maintaining records management systems
  • Files and retrieves corporate documents, records and reports
  • Opens, date stamps, sorts and distributes incoming correspondence, including faxes
  • Makes travel arrangements for executives
  • Prepares responses to correspondence containing routine inquiries
  • Prepares agendas and makes arrangements, such as coordinating catering for luncheons, for department meetings
  • Provides clerical support to other departments
  • Manages and maintains Executive Director's schedule
  • Processes Executive Director travel and expense forms
  • Performs all other duties as assigned or directed
  • Attends meetings to record minutes
  • Processes donor gifts into the donor database as well as other database projects
  • Makes copies of correspondence or other printed material as needed.
  • Prepares outgoing mail and correspondence, including email and faxes.
  • All other duties as assigned.

Skills & Abilities

  • Education: Associate's Degree (two year college or technical school) Preferred, Field of Study: Business Management, Accounting, Office Technology or Human Resources Management
  • Experience: 2 plus years of experience in a business office environment
  • Computer Skills: Skill in use of PC applications, preferably Microsoft Office
  • Certifications & Licenses: Must possess a valid driver's license
  • Other Requirements: High degree of confidentiality required; Must be able to adhere to all terms and conditions set forth in the United Church Homes Employee Handbook
