SUMMARY

The Human Resources Coordinator is a key member of FIT’s Human Resources team whose primary responsibilities will be processing for bi-weekly and off-cycle payrolls, and coordinator of administrative HR functions. Additional responsibilities may include policy review and drafting, serving as a liaison for employee questions, and coordinating HR-related events within FIT.

PRIMARY RESPONSIBILITIES
  • Process bi-weekly payroll, off-cycle pays (bonus, incentives, etc.), garnishments, deduction management (benefit changes, parking, etc.), updating 401(k) deferral changes, and paid time off reconciliation for all employees.
  • Reconcile bi-weekly payroll for manager review, create detail-oriented payroll documentation, and upload timely
    bi-weekly 401(k) file.
  • Conduct audits of payroll, payroll taxing, benefits or other HR programs and reports results to the Senior HR Manager.
  • Administer health and benefit plans, including new hire enrollments and changes (life events), and dependent verification audits.
  • Conduct audits and ensure completion for new hire training and onboarding, offboarding tasks, and internal changes, and follows up with incomplete tasks.
  • Review, track, and document compliance with mandatory and non-mandatory training, continuing education, and work assessments.
  • Handle employment-related inquiries from employees and supervisors, referring complex or sensitive matters to the Senior HR Manager.
  • Act as a liaison between FIT’s insurance providers and provide customer service by answering basic employee requests (benefits, policies) and questions.
  • Attend and assist with new hire orientation and new hire benefit orientation.
  • Reconcile, track, and process benefit statements and other HR invoices.
  • Process internal changes (promotions, transfers) ensuring administrative accuracy.
  • Provide administrative support to the HR team to support effective and efficient operations of FIT’s HR department as needed, including record-keeping, file maintenance, and HRIS entry.
  • Assist or prepare correspondence as requested.
  • Cross train and serve as backup for onboarding and offboarding administration.
  • Execute plans for special events such as benefits enrollment or company-wide meetings.
  • Handle other duties as assigned to enhance effectiveness of the HR/Admin team and positively impact FIT’s culture.
KNOWLEDGE AND SKILL REQUIREMENTS
  • Seeking an individual who is naturally outgoing, enjoys fostering open communication, and actively engages in conversations with employees to promote a positive and collaborative work environment.
  • Excellent verbal and written communication skills, with strong attention to detail and ability to meet deadlines.
  • Ability to independently use resources to answer employee questions, coupled with the discernment to recognize situations requiring escalation to their manager.
  • Ability to ensure thorough fact-finding on issues to enable accurate assessment and timely escalation when necessary.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite, and ability to gain proficiency in HRIS and other software systems.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems.
  • Payroll processing and ADP experience preferred.
  • Preferred qualifications include a bachelor’s degree in human resources or a related field, or current enrollment in a Bachelor’s program in Human Resources or a related discipline is preferred.
  • At least one year of human resources experience preferred.
  • SHRM-CP a plus.
WORKING CONDITIONS + REQUIREMENTS
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
