The Position:

GENERAL PURPOSE AND SCOPE OF THE POSITION:
This role will involve providing administrative and clerical support to the assistant director of Maintenance & MEP, the Maintenance Supervisor, and the Locksmith & Life Safety Coordinator within the Facilities-Maintenance department. Responsibilities include overseeing administrative functions such as scheduling work, coordinating and scheduling contractors, purchasing supplies and equipment, tracking invoicing and costs, reviewing utility bills, and managing PM/service contracts to ensure the safe and reliable functioning of all campus buildings and equipment. Additionally, the Coordinator will assist with workflow and cross-functionality for other areas within the facilities department.

MAJOR RESPONSIBILITIES:

  • Manage purchasing, invoicing, and receipt/distribution of supplies, equipment, and tools for the maintenance department
  • Lead efforts for routing work order tickets in CMMS (New Rocket "Service Now") to maintenance staff and other facilities areas
  • Coordinate scheduling of third-party contractors and manage completion of contracted work. Assist with tracking when contractors are on site and coordinate with security and facilities staff appropriately.
  • Maintain equipment PM schedules and manage scheduled PM work by in house staff and contractors. Create and maintain master campus schedule of items and associated PM schedules.
  • Provide support to MEP Director and Life Safety coordinator related to purchasing and maintaining state permits for elevators, BPVs, and event permits
  • Escort vendors as needed and coordinate with third-party contractors to complete projects and PM work.
  • May act as a point of contact with vendors to order, receive and ensure payment for goods and services
  • Occasionally conduct routine inspections of buildings to identify issues with equipment, fixtures, building components, and Furniture, Fixture & Equipment (FF&E)
  • Assist with inventory control and organization of storage spaces
  • Collect, distill, and prepare data for review, including staff work order completion data, campus utility bills, and more.

EDUCATION AND EXPERIENCE:
  • High school diploma or equivalent GED
  • Ability to read, write, and understand instructions relating to maintenance tasks
  • Ability to use and understand a digital work order system on computer or tablet
  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 50 pounds without assistance and heavier lifting or movement tasks with assistance.
  • Move safely up and down stairs, service ramps, and/or ladders
  • Must be able to hold or obtain an Indiana driver's license
  • Must be detail-oriented and thorough as well as flexible for changing situations
PREFERRED QUALIFICATIONS:
  • Experience in a educational institution maintenance setting
  • Knowledge of local building codes, regulations, and ordinances
  • Ability to read and interpret blueprints and schematics
  • Purchasing / procurement experience
  • Ability to use hand and power tools


STARTING SALARY RANGE: $18.50 - $20.50

CLASSIFICATION: N4
