Job Description Position:                    Office Administrator      
Reports To:               Operations Manager
Status:                        Full-Time, Non-Exempt, Hourly
Schedule:                   Monday – Friday 7:30AM – 4:30PM
Revision Date:           April 2024 Summary The Office/Warehouse Administrator will support the KR Wolfe team with a variety of day-to-day tasks, including main office and warehouse management, inventory management, fleet management, tech support, and other administrative support as needed. This role requires a self-starter who can be effective and efficient with minimal supervision. Success is dependent on having polished and effective communication skills, seeking opportunities to go beyond expectations, are detail and service oriented, organized, resourceful, and most importantly can work well to support a fast-paced, busy office environment. Duties and Responsibilities Essential Duties:
  • Office/Warehouse Management: Perform a variety of administrative duties including opening/closing the main office and warehouse, shipping, receiving, distributing, and responding to mail, emails, phone calls. Maintain a clean and organized office and warehouse. Support budgeting and bookkeeping procedures.
  • Inventory Management: Organize and maintain accurate tool and construction equipment inventory: Audit and report inventory while making recommendations on which items to order and restock. Distribute inventory among employees, keeping detailed records of all materials issued. Maintain inventory in local and external storage areas (fleet, jobsites, storage facilities, etc.). Manage tool calibrations and coordinate tool calibration re-certifications.
  • Shipping and Receiving:Prepare shipments: Package and weigh items. Print shipping labels and postage. Reviewing shipment orders: Ensuring that shipment orders have been correctly processed. Track shipments: Keep track of incoming and outgoing shipments and update their status. Send out employee/client recognition gifts. Moving goods to and from the office and warehouse. Calculate freight costs as needed.
  • Fleet Management: Schedule fleet maintenance.Monitor fleet reports, Provide detailed reports to management on schedules, maintenance, and fleet progress. Provide local transportation for management in company fleet.
  • Tech Support: Management of IT equipment, light troubleshooting/basic tech support for issued equipment including company cell phones, laptops, printers, etc.
  • Additional duties will be assigned on an as-needed basis.

  • High School diploma or GED. College degree highly preferred.
  • One or more years of experience in a professional administrative role.
  • Previous experience working in construction and/or engineering is a plus.  
  • Intermediate to advanced computer skills including MS Office Suite (emphasis on Excel).
  • Effective and clear communications, both verbal and written.
  • Excellent organizational skills and attention to detail.
  • Ability to work autonomously, problem solve, and manage multiple tasks while meeting deadlines.
  • Reliable and honest with a strong work ethic.
  • Proactive and seeks out opportunities to do more than expected. 
Language Skills                                                     Ability to read, analyze, and interpret complex documents.  Ability to respond effectively to sensitive inquiries or complaints.  Must be able to speak, understand, read and write English. Mathematical Skills                                            Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Reasoning Ability                                  Ability to problem solve and think critically. Make sound decisions, and escalate matters quickly and efficiently. Computer Skills                                                    Possess intermediate to advanced computer skills, including basic knowledge of MS Office Suite. Must be able to quickly learn new computer programs, use the internet, and operate mobile devices. PRE-REQUISITE Credentialing, Vaccine, and Training Requirements Employees are required to have the following credentials, vaccines, and training prior to being placed in this position:

Physical Demands and Work Environment Physical Demands This position requires the worker to sit at and navigate a computer workstation about half of the workday. The other portion of the workday may include moving throughout the office, frequently light lifting, bending, and reaching up to 25 pounds. Visual Acuity The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and extensive reading. Working Conditions The primary working environment is an indoor office setting. From time-to-time it may be necessary to travel. Employees working in hazardous conditions and areas are required to comply with all applicable safety provisions and to use PPE.

Hourly Rate of Pay Range: $20.00 - $23.00 per hour
