Administrative Assistant Job description Are you a proactive organizer with a knack for keeping things running smoothly? As an Administrative Assistant, you'll be the backbone of our team, ensuring daily operations flow effortlessly. This role offers the chance to contribute meaningfully to our organization by managing travel, schedules, correspondence, tasks and projects, and supporting various administrative tasks to enhance productivity. We are looking for an outgoing person with attention to detail, accuracy, ability to multi task, and thrives in a fast pace work environment. We are a family owned and operated distributor that has specialized in distributing hearth and outdoor living products to the Northeast for the past 30 years. Position Includes: Communication: -Prepare and distribute internal and external communications. -Assist in creating and editing reports, presentations, strategic plans, standard operating procedures, how to guides, and other documents. -Answer direct phone calls and emails promptly. Scheduling: -Manage calendars for executives or teams, including scheduling meetings and appointments. -Monitor schedules of departments and accountability of schedule. -Coordinate travel arrangements, itineraries, and materials as needed. Data Management: -Maintain and update databases and records. -Assist with data entry and ensure accuracy of information. Support: -Provide support for various departments as needed. Applicant must have: -Strong organizational, time management, and multitasking abilities -Problem solving skills -Microsoft Word, Excel, and Outlook experience -Proficiency in Salesforce or similar CRM software -Willingness to learn and work as a team player -Flexibility to adapt to changing priorities and deadlines -Experience in customer service Hours are Monday-Friday 8:15-5:00 with weekly product training Wednesday & Friday from 7:15-8:30. Additional hours may be needed based on workload. We offer a full benefits package.
