Reporting directly to the Chief of Staff, the Administrative Assistant serves as a key administrative liaison between senior management, the Board of Directors, and external stakeholders. This role involves planning and executing events, managing executive schedules, preparing high-quality presentations, and ensuring seamless coordination of office activities. The Administrative Assistant thrives in a fast-paced, high-pressure environment, maintaining a focus on delivering exceptional service and maintaining strict confidentiality.

RESPONSIBILITIES:

Executive Support:

  • Provide comprehensive administrative and business support to the CEO, Executive Leadership Team, and Chief of Staff.
  • Act as a liaison for the Board of Directors and external stakeholders.
  • Manage scheduling, calendar coordination, and meeting preparation for executives.
  • Organize domestic and international travel and accommodations for executives.
Event and Meeting Coordination:
  • Plan and execute global employee and office events, including vendor management, site selection, and logistics within budget.
  • Schedule and coordinate executive meetings, including preparing conference spaces, materials, and catering.
  • Organize cross-functional meetings, ensuring smooth execution and follow-up.
Administrative and Project Management:
  • Prepare high-quality PowerPoint presentations, Excel spreadsheets, and reports.
  • Reconcile and maintain expense reports for executives.
  • Compile, analyze, and maintain data for regularly scheduled reports and ad hoc projects.
  • Manage multiple tasks and projects simultaneously under strict deadlines.
Office and Engagement Activities:
  • Coordinate employee engagement initiatives by planning and hosting office events.
  • Decorate and prepare office spaces for events and ensure alignment with company culture and standards.
QUALIFICATIONS:
  • 3+ years of experience as an Administrative Assistant, preferably supporting senior leaders.
  • Project management experience is highly preferred.
  • Experience in a fast-paced, global environment is a strong advantage.
    • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
    • Strong organizational and time-management skills with high attention to detail.
    • Exceptional written and verbal communication abilities.
    • Proven ability to anticipate needs and manage competing priorities independently.
    • Demonstrated professionalism, discretion, and confidentiality.
    • Event planning experience is a plus.

    PAY RANGE: $60,000 - $75,000
