Front Desk Coordinator

The Front Desk Coordinator will be responsible for managing the reception area and serving as the welcoming first point of contact for employees, clients, and visitors at our Global Headquarters located at 80 Guest Street, Boston, MA (Brighton/Boston Landing). This role is crucial to our employee and client engagement efforts and physical security program. The ideal candidate will have a strong passion for customer service, a customer-centric mindset, and keen attention to detail, ensuring a positive and lasting first impression of athenahealth.
The Front Desk Coordinator will report to the Senior Manager, Global Security & Services.
Key Responsibilities
- Oversee daily operations of the reception area
- Warmly greet all individuals arriving at our Headquarters including employees, clients, visitors, and executive leadership
- Collaborate with executive assistants on visitor and VIP arrangements
- Coordinate and schedule the use of conference and huddle rooms as necessary
- Monitor employee requests for information and facilitate responses
- Manage our Visitor Management System and Policies
- Ensure compliance with access policies for employees, visitors, and contractors
- Communicate requests effectively to our landlord's property management team
- Answer the main athenahealth phone line
- Assist the athenaEnvironment and Security Management teams with various projects as needed
Typical Qualifications
- 5-7 years of Front Office, Executive Assistant, or Project/Team Coordination experience
- Bachelor's Degree preferred
- Excellent verbal and written communication skills
- Proficiency in Microsoft Systems including Outlook, TEAMS, Excel, PowerPoint, Word
- Understanding of ServiceNow is desirable but not required
- Familiarity with CCure Access Control and Envoy Visitor Management software is a plus
- Previous customer service experience highly preferred
- Bilingual candidates are encouraged to apply
