Knowledge, Skills & Abilities:
Under the supervision of the Materials Director, responsible for maintaining supplies, equipment and materials necessary for the daily operation of the facility or hospital outpatient facility by ordering, receiving and distributing necessary supplies and equipment to individual departments. Maintains adequate amounts of sterile and non-sterile products on shelves at all times, rotating supplies as necessary to avoid expiration. Reports damages and discrepancies for accounting, reimbursement and record-keeping purposes. Completes shipping and receiving reports. Assists with maintaining hospital implant log. Monitors savings opportunities and submits savings information. Maintains accurate supply information within the facility computer system and assists with transitions to new systems as necessary. Maintains the work area and equipment in a clean and orderly condition and follows prescribed safety regulations.
Projects a professional demeanor and appearance while maintaining the confidentiality of patients, coworkers, and facility information and adhering to the HIPAA policy. Reports, in good faith, any known or suspected activity that appears to violate laws, rules, regulations or the SP Code of Conduct. Fulfills annual Healthstream continuing education requirements.
Personal attributes include the ability to be self-directed; demonstrates accountability, professionalism, and receptiveness to change; seeks guidance, direction, and assistance when needed. Works under stress and in situations that demand patience, stamina, endurance, and tact while providing impeccable service. Fosters an attitude of teamwork and willingness to assist others and does not refuse performing other job duties as requested. May also be required to interchange from facility to hospital outpatient department as needed. Sets priorities, responds timely to issues which require a decision, and ensures desired results are achieved by means of consistent follow through.
Patient Population:
The patient population served by South Texas Spine & Surgical Hospital is a minimum of 12 years and/or of adult stature to geriatric patients requiring or seeking pain and/or surgical intervention. In addition, our hospital outpatient department patient population served by South Texas Spine & Surgical Hospital is a minimum of 6 months to geriatric patients.
Physical Requirements:
May be expected to lift up to 50 pounds or up to 150 pounds with assistance. May be expected to push or pull 150-300 pounds with assistance. Work is of medium demand; walking or standing most of the time while on duty. Visual and auditory acuity and manual dexterity essential to performing designated duties required. Optimal auditory acuity required. Manual dexterity involving the handling of equipment and instruments or armamentarium is essential to performing assigned duties. Physical conditions are clean, neat and well lit. May be subjected to unpleasant sights and odors, stressful situations, hazardous or infectious agents where judgment as to precautions needed to be taken is essential. Climate control and ambient temperature variances may be experienced and required by patient care and needs of the surgical team. Exposure to limited amounts of radiation, hazardous chemicals and infectious disease processes are a possibility. Hours of duty may be irregular or unexpectedly extended due to the requirements of the job.
OSHA Exposure Classification:
Job Category III. Task/activities do not entail predictable or unpredictable exposure to blood or other body fluids to which universal precautions apply.Qualifications:
- Demonstrates eligibility for employment in the U.S.
- High School diploma or GED required.
- 1-2 years of supply management experience preferred
- Ability to relate and work effectively with others.
- Knowledge of commonly used concepts, practices, and procedures within a particular field.
- Ability to perform, but not limited to, the following tasks: be familiar with and able to interpret packing slips, enter into the computer the correct information, to acknowledge receipt of the goods into the purchase order and processing database.
- Must be familiar with proper packaging methods and able to interpret visual aids used to convey specific packaging requirements.
- Demonstrated skills in verbal and written English communications for safe and effective use of chemicals cleaning agents and safety instructions.
- Demonstrates ability to comprehend written and oral instructions.
- Willingness to participate in goal-setting and educational activities for own professional advancement.
- Is aware of material management, supply management and financial considerations in a work environment.
- Must be computer literate with basic fundamental computer skills that are required to perform essential job related duties.
Duties and Responsibilities:
PEOPLE
- Facilitates the development of appropriate working relationships with the clinical staff, vendors, physicians, and other departmental leaders.
- Demonstrates effective communication skills with staff, management, and physicians.
- Communication through verbal and written methods to update staff daily on backorders and equipment issues.
- Demonstrates skills as a team player. Shows a willingness to assist others in retrieval of equipment and supplies.
- Effectively accesses SP Service area resources and implements recommendations.
- Demonstrates ability to solve problems timely and constructively; maintains focus on the situation and not personalities, gathers facts before reacting.
- Demonstrates a complete knowledge of vendors, variable supply sources and uses vendors to gain the best prices and most efficient method of supply delivery.
- Facilitates and coordinates, as necessary, in-services for new products and assists with orientation of new employees as directed.
- Coordinates coverage of services, during absence from the department.
- Maintains confidentiality regarding pricing and contract documentation.
SERVICE
- Establishes and maintains exceptional services to all customers including physicians, patients, and employees with the goal of delighting all customers.
- Participates in service recovery by taking ownership of the situation and correcting problems. Strives to promote customer satisfaction and follows through with the situation to correct the problem. Keeps staff and management informed of progress related to materials, instruments, and equipment.
- Develops and maintains a culture of service in department, connecting organizational values to actions. Sets example for team members by participating in service initiatives and encourages other to do so as well.
- Models appropriate interaction with physicians, patients and staff to ensure high level of service in all areas of responsibility.
- Participates in SP initiatives for cost savings measures and represents the facility as appropriate.
QUALITY
- Executes day-to-day responsibilities assuring safe and effective clinical operations related to sufficient supplies and functioning equipment in the clinical areas.
- Assures that systems are in place to comply with state, federal, and accrediting body. Including but not limited to: Maintaining accurate maintenance, service, and recall binders.
- Assures all supplies are stocked in an organized manner on a daily basis to protect the integrity of the supplies.
- Assures medical gases, biohazard wastes, and chemicals are used, stored and maintained in a safe manner according to manufactures recommendations and reports any hazardous conditions immediately.
- Assures employee safety, reporting any equipment issues to biomed in a timely manner
- Assures that all records are maintained accurately, including matching packing slips with purchase orders and supplies are received in facility program.
- Maintains accurate supply information within facility system and adds, updates, or removes supplies in a timely fashion.
FINANCE
- Helps coordinate and conduct annual physical inventory and completes all reporting documentation.
- Participates in the implementation of action plans to reduce cost of supplies and performing cost analysis as requested.
- Uses all available resources, including group purchasing and research databases, to determine most cost-efficient method of supply procurement.
GROWTH
- Participates in regular department meetings as requested.
- Participates in setting yearly goals for self, creates strategies and establishes time frames to accomplish goals.
- Assists in the on-boarding of new physicians by assuring that the physician and Marketing/Physician Relations personnel have all necessary supplies.
