Mission & Authority

To directly oversee the operations of several departments which provide mission services and facilitate effective functioning of the entire operations segment of Young Life.

Regional Administrator I
Summary:
To provide administrative support for the regional office, acting as liaison between the regional director and areaoffices in communicating mission policies and procedures.

Essential Duties:

Written and Verbal Communication Answer correspondence, do filing and send mailings. Answer phones. Respond to voicemail, e-mail and phone calls in a timely and professional manner. Communicate new mission policies and procedures to regional staff in a timely and professional
manner.
Analyze and interpret policies and guidelines set up by the regional director and/or the administrative offices of the Service Center and resolve problems and questions in the absence of the regional director. Interaction with all area and regional staff, volunteers, area and regional committees and regional
management teams.

Administration Process and track donations. Maintain donor and leader databases, ensuring area leader forms, driver questionnaires and background checks are up-to-date. Manage monthly expenses and budgets, including regional bank account records/ purchase card expenses, FDT, regional and staff expense reports. Provide personnel support for regional staff, including Human Resources and personnel action requests. Coordinate regional fundraising events and other regional events. Provide annual camping administration. Assist regional director with workload. Maintain, organize and facilitate monthly deadlines, including camp and work crew allocation, annual budgets and compensation. Provide staff care, including birthdays, monthly reports and assignment care packages. Verify regional statistics electronically via the Growth Planning Software (GPS) system. Facilitate paperwork to open and close area ministries across the region. Manage and execute area transfers. Manage Mission Security application for staff within region. Serve as a liaison between the staff and Service Center, explaining policy and forms, etc. MSite update. Event Planning
Plan, coordinate and facilitate regional events including:
Regional staff training days Committee chair days Regional meetings Regional camps Leadership weekends Training
Provide Administrative training to all staff and volunteers within region, with various Young Life processes, programs and applications.

Other Contact and PR work. Assist with additional work from area and regional staff.

Working Conditions:

Education:
BA or BS preferred with at least three years as an administrative assistant with a large company or large church/ministry involving office management, public contact and research and writing experience.
Ongoing education encouraged.

Experience Required For The Job:
Three to five years administrator experience with proven knowledge of Young Life culture and policies. Knowledgeable on office management and supervisory techniques; able to plan the work of others. Excellent organizational skills with attention to detail and processes with the capability of handling concurrent tasks and constant interruptions. Strong written and verbal communication skills. Ability to type 75 to 100 wpm with few errors. Demonstrated proficiency in Microsoft Office Suite (which includes Word, Excel, PowerPoint and Outlook). Ability to maintain confidentiality. Basic accounting skills. Ability to establish effective working relationships with Young Life field staff and offer excellence in customer service to Young Life staff and the public. Proven relational skills with both kids and adults. Great customer service skills.

Job Specific Working Conditions:

Young Life in Greater Grand Rapids seeks an operations administrator to work alongside our nine Area Directors to ensure operational excellence across the city. This person would work in tandem with an experienced Associate Regional Director in leading vision and ministry health in Grand Rapids. This job requires someone who can drive projects across the finish line, is technologically savvy, has a heart for Jesus and kids, and gets energized by a blend of executing and project management with a variety of tasks and people interface throughout the year. This person would continue the work of cultivating a culture of generosity and teamwork with the staff, leaders, committee, and donors across all parts of Grand Rapids. This is a 25-hour-a-week job. No fundraising is required for this position.
