JOB SUMMARY:
Under the general direction of the District Superintendent, the Administrative Secretary provides extensive coordination of matters of wide scope and subject matter, frequently with highly sensitive content which requires strict confidentiality. In addition to complex secretarial duties, performs a variety of administrative responsibilities, coordinates communications and information, applies knowledge of District policies and regulations, serves as the recorder to the Board of Education, and maintains a positive demeanor. The responsibilities are varied, technical, and confidential in nature, and involve all aspects of the District's operations, and activities. This individual typically coordinates, oversees, and performs complex, difficult, and highly visible secretarial activities and is expected to be able to effectively multitask and exercise diplomacy. To exercise supervisory skills and decision-making ability.
QUALIFICATIONS:
- Demonstrates office skills-record keeping, filing, typing, answering the phone, scheduling appointments for the Superintendent.
- Excellent knowledge of computer programs including desktop publishing, internet usage, email, word processing, database, spreadsheet skills, and website maintenance.
- Bachelor's degree preferred.
- Five years of progressively responsible clerical and secretarial experience, computer experience including use of word processing, presentation software, and data management programs.
- Demonstrates the ability to work as a team player with co-workers and colleagues while maintaining positive working relationships.
- Excellent organizational, communication and interpersonal skills.
- Use of interpersonal skills using tact, patience, and courtesy.
- Multitasking ability and strong diplomacy skills.
- Demonstrates professionalism and contributes to a positive work environment.
- Completes paperwork accurately, verifies and correctly enters data.
- Maintains an acceptable attendance record and is punctual.
- Promotes a favorable image of the school district.
- Applicant must demonstrate a level of knowledge and/or experience appropriate to the position.
- Favorable criminal background and child protection registry check for the candidate offered employment Required.
- Tuberculin test required.
- Participation in Direct Deposit required.
- Take minutes of official Board meetings and transcribes meeting recordings.
- Maintains official Board of Education records related to special projects and/or conducting elections.
- Keeps current with advances in office technology.
- Strives to develop rapport and serve as a positive role model for others.
- Effectively uses verbal, nonverbal, writing, and listening skills.
- Performs prescribed activities efficiently with limited supervision.
- Accepts personal responsibility for decisions and conduct.
- Serves as point of contact to communicate weather related delays/closures to media outlets.
- Handles Choice Applications: prepares acceptance and decline letters.
- Handles Facility Rental requests.
- Assists the Superintendent in the preparation of special projects.
- Contact administrators and secretaries for agenda items for Board meetings. Post agendas for regular and special board meetings.
- Prepares information in response to parental or employee requests.
- Attendance at monthly board meetings and special board meetings is required.
- Respects personal privacy. Maintains the confidentiality of privileged information.
- Maintains district-wide building use calendar.
- Facilitative leadership skills.
- Excellent computer/technology/multi-media skills.
- Ability to exercise independent judgment.
- Serve as physicality of Superintendent and school district.
- Assists Superintendent in preparing graduation evening event for the Alumni class of 50 years.
- Assists with coordinating District Teacher of the Year, Support Staff Person of the Year, and Behavioral Health Professional of the Year event.
- Assists with scheduling District Student Hearings before the Board of Education, packet preparation, post agenda, record minutes at hearing, prepare decision outcome letter and mail.
- Assists Superintendent with coordination of District Back To School and End of School Celebration events.
- Assists Superintendent with coordination of Homecoming day/evening and weekend events.
- Performs other job-related duties as directed.
- Duties may require traveling to meetings and work assignments.
- Duties will require working extended hours.
- Duties may require working under time constraints to meet deadlines.
- Duties may require prolonged use of a computer keyboard and monitor.
- Potential for interaction with disruptive and/or unruly individuals.
TERMS OF EMPLOYMENT:
- This is a 12-month employment position.
- Salary based on State and Local Salary Schedules, experience, and education.
