The Cain Firm is seeking a dedicated Case Manager to support our expanding caseload and streamline our legal processes. As our client base grows, we need a skilled professional to ensure each case receives the attention and care it deserves, maintaining our commitment to excellence in legal service.

In this pivotal role, you will be essential to our legal team, ensuring that every case is handled with meticulous attention to detail and efficiency. Your expertise in managing communications between clients, medical providers, and legal teams will be crucial in fostering trust and ensuring client satisfaction. Your contributions will directly impact the success of our firm and the positive outcomes for our clients.

What you'll do:
  • Comprehensive Case Management: Handle and progress a high-volume caseload with meticulous attention to detail, moving clients through the entire client experience journey, from intake to favorable case closure. This includes overseeing case schedules, communications, conducting intake interviews, discovery, factfinding, treatment phase management, negotiation, settlement, and payments.
  • Timely Case Closure: Ensure cases progress through all stages in a timely manner, doing everything possible to move cases forward. Identify and remove any blockers, demonstrating adaptability within established legal procedures. Apply innovative problem-solving skills and effective task management to overcome hurdles and resolve complex case scenarios efficiently.
  • Client Journey Management: Manage the entire client journey from intake to case closure, emphasizing a positive experience, especially during the first 100 days and beyond. Serve as the main point of contact for clients, offering guidance and empathetic support. Facilitate treatment coordination and educate clients about their treatment options as needed.
  • Medical Treatment Coordination: Proactively communicate with insurance carriers, medical providers, and other relevant entities to manage relationships and ensure treatments align with the injuries claimed throughout the case.
  • File Management: Create and maintain both virtual and physical files for each case, ensuring thorough organization from case onset. This includes setting up files at the beginning of each case and meticulously updating them throughout the case's progression.
  • Legal Document Management and Support: Handle the drafting and management of all critical case documents, including contingency fee agreements, medical releases, and other case management documents. Prepare and send representation letters to insurance adjusters and medical providers, and diligently work to obtain policy limits from the defendant's carrier. Regularly request, obtain, review, and organize medical records, police reports, witness statements, and other evidence such as photos. Independently order essential documents as required throughout the case. Draft demand letters and settlement memos to support case resolution.
  • Financial Management: Track case costs and manage financial aspects such as PIP liens and health insurance liens, ensuring all financial elements of cases are handled accurately and efficiently.
  • Process Improvement: Implement and drive transformative client experience programs, focusing on enhancing client communication and overall experience.
  • Measurement of Success: Your success in this role will be monitored through various KPIs such as:
    • Client outreach within 30-day intervals
    • Duration of days to obtain records and bills from providers
    • Duration of days to send out demands within the cycle flow
    • 24-hour response time to client queries
    • Providing appropriate case closure packet information to all clients
    • Conducting exit interviews immediately following the disposition of the case
What we're looking for:
  • Experience: Ideally, have 4-5 years of case management experience in personal injury law, with at least 1-2 years of client engagement. Previous case management experience is not strictly required but is advantageous. We are open to individuals with experience in the medical field or insurance, ideally familiar with personal injury law.
  • Roster Management: Capable of managing a caseload of 80-100+ cases at any given time, ensuring timely and effective case progression.
  • Software Proficiency: Proficient with Microsoft Office 365 and GSuite, and case management softwares such as Filevine and LeadDocket.
  • Written and Verbal Communication: Possess outstanding written and verbal communication skills, essential for clear and professional client interactions and documentation.
  • Critical Thinker and Problem Solver: Demonstrate strong problem-solving skills, with the ability to tackle complex case scenarios and operational challenges.
  • Detail-Oriented and Client-Centric: Balance the critical combination of client-centric attention to detail and administrative precision, ensuring neither is sacrificed. A professional who excels in managing intricate details and navigating the complexities of legal processes.
