Description

The Applications Specialist will support daily operations and act as a first point of contact for customers and team members. This role interacts directly with customers, sales representatives, team members, and company leadership. The Applications Specialist ensures smooth communication and operational flow between departments, handling critical tasks to keep the business moving forward.

This role supports Outside Sales, Purchasing, and Warehouse departments, fulfilling customer requirements by creating and managing quotes and orders within Profit 21 (P21). This position requires excellent customer service, organizational skills, attention to detail, and the ability to handle a variety of tasks in a fast-paced environment.

Requirements

ROLE AND RESPONSIBILITIES

  • Assist in submitting and processing invoices for client locations.
  • Respond to requests from Sales Representatives and customer inquiries.
  • Establish and maintain professional relationships with vendors and customers.
  • Monitor sales orders, quotes, and ensure proper processing.
  • Create and manage quotes, sales orders, and purchase orders in P21.
  • Organize and maintain both manual and electronic filing systems.
  • Assist with purchasing items for sales orders and help with order fulfillment, including pulling and staging parts.
  • Communicate with Warehouse and Purchasing teams to manage stock transfers.
  • Assist in tracking vendor quotes, lead times, and delivery schedules.
  • Provide timely updates on order statuses, including ETA information from vendors.
  • Support other administrative tasks as needed to ensure the smooth functioning of the office.
  • Excellent customer service skills and professional communication, both written and verbal.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and adapt to changing priorities in a dynamic, fast-paced environment.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
  • High School Diploma required, Bachelor's degree in business, Sales, or a related field preferred.
  • Minimum of 2 years of experience in an administrative support or customer service role preferred.
  • Experience in the Oil & Gas industry preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with Profit 21 (P21) or similar ERP systems.
  • Ability to learn and grow with the company.
