Position Summary:

Purchasing and Inventory Assistant will be part of a multidisciplinary project team whose role is to assist the purchasing and inventory function.

Core Competencies:

The role includes performing data entry, managing inventory transactions, and providing support in purchasing, quality assurance documentation, and organizational tasks.

Position Responsibilities:

  • Assist with selection of vendors with cost-effective products that meet specifications, quality standards, delivery dates, and customer service requirements
  • Provide on-going support to project management and production
  • Enter purchase orders into the system, ensuring that all details are correct
  • Perform and record inventory transactions, including updating inventory levels and processing adjustments as needed
  • Manage the receiving process by verifying incoming shipments against purchase orders and inspecting the condition of goods received
  • Record and process received goods in the inventory system, ensuring accurate documentation
  • Monitor inventory usage and report any potential shortages or overages to management
  • Participate in regular cycle counts to ensure inventory accuracy
  • Scan and digitally store purchase orders, receiving documents, and other relevant paperwork
  • Ensure all documents are scanned and digitally organized, easily accessible, and securely stored in accordance with company policies
  • Support the quality assurance team by managing and assembling necessary documentation for QA processes
  • Track inventory usage and report discrepancies to management for resolution
  • Keep workspaces, files, and records organized to facilitate efficient workflow and easy access to information

Qualifications:

  • 1-2 years of experience as a purchasing agent, or in a related role
  • Strong computer skills, including proficiency with MS Office Suite
  • Excellent communication skills-verbal and written
  • Excellent organizational skills and attention to detail
  • Basic knowledge of contract legal terms and requirements
