Job Summary: The Front Desk Administrator serves as the first point of contact for visitors and clients, providing exceptional customer service and ensuring the smooth operation of the front desk area. This role involves handling a variety of administrative tasks, including answering phones, managing appointments, and performing clerical duties to support the organization's operations.

Key Responsibilities:

  1. Reception Duties:

    • Greet and assist visitors, clients, and staff in a professional and courteous manner.
    • Answer, screen, and forward phone calls, taking messages as necessary.
    • Manage and direct incoming mail and deliveries.
  2. Administrative Support:

    • Schedule and coordinate appointments, meetings, and conference room bookings.
    • Maintain and update contact lists and databases.
    • Prepare and distribute documents, reports, and correspondence as needed.
    • Assist with data entry, filing, and record-keeping tasks.
  3. Customer Service:

    • Address and resolve inquiries and complaints in a timely and effective manner.
    • Provide information about the organization, its services, and policies.
    • Assist clients and visitors with special needs or requests.
  4. Office Management:

    • Ensure the front desk area is clean, organized, and well-stocked with necessary supplies.
    • Monitor and maintain office equipment, coordinating repairs or replacements as needed.
    • Assist with onboarding new employees and provide general office support.
  5. Compliance and Security:

    • Follow and enforce security protocols for visitor access and facility entry.
    • Maintain confidentiality of sensitive information and handle it with discretion.

Qualifications:

  • High school diploma or equivalent; additional certification or education in office administration is a plus.
  • Proven experience in a front desk or administrative role preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Professional appearance and demeanor.
  • Ability to handle stressful situations with a calm and positive attitude.

Work Environment:
