The Junior Project Accountant is a key member of the Ware Malcomb Project Accounting team and is responsible for supporting the daily functions of Project Accounting by providing administrative and office services and implementing administrative procedures and policies. The Junior Project Accountant will work closely with their assigned Project Accounting Regional Team to provide a high level of service to internal and external clients and consultants.

Junior Project Accountant Responsibilities:

    • Under the supervision and direction of assigned Project Accountant, set up new and update existing projects with information from Project Management team to ensure compliance with Client's billing & contract requirements.
    • Serve as the primary backup for Project Accountant during absences and vacations.
    • Work with project team to obtain all necessary information to setup up projects in the system, enter budgets & prepare/initiate contracts.
    • Detect and alert Project Accountant of any projects or contracts that fall outside the firm's standard contract form or process.
    • Coordinate with Project Managers to obtain contract signatures from Clients & Consultants.
    • Assist with accounts receivable by running Weekly Aging reports and follow up on past due balances by email and phone.
    • Assist Project Accountant with the monthly invoicing process.
    • Review instruction from Project Managers and take appropriate action.
    • Generate invoices and coordinate with Accounting Assistants to email all invoices to Clients.
    • Handle online portal invoice submissions.
    • Log and route responses from Clients related to invoicing.
    • Create redacted prime agreements.
    • Email and call Consultants and Clients regarding billing, contracts and issue resolution.
    • Prepare waivers for invoicing, collect reimbursable expense backup, and email invoices to Clients.
    • Process and enter data in Vision accounting software.
    • Process COI Requests.
    • Finalize AIA documents.
    • Follow the expired DocuSign process.
    • Act as general liaison between Assistant Team and Project Accountant.
    • Attend and actively participate in monthly AR calls.
    • Assist in monthly close out process.
    • Additional duties and miscellaneous projects, as assigned.
Junior Project Accountant Requirements:
    • Excellent communication skills, written and verbal, are essential
    • Must be able to handle multiple tasks accurately
    • Experience with billing, accounts receivable, completing payment applications, lien waivers/releases
    • Must have experience with Microsoft Office applications
    • Experience with Deltek Vision software is a plus
    • A minimum of 2-5 years of experience working in an office setting
    • Experience in Architecture/Engineering or related industry is a plus
    • Must be able to handle a high volume of multiple tasks accurately; thrives in a fast-paced, team environment


$26.50 - $31.25 an hour

The compensation range $26.50-$31.25 per hour, plus benefits. Work With Us - WARE MALCOMB.

The final agreed upon compensation is based on individual education, qualifications, experience, licensing, project specialty/complexity and work location. At Ware Malcomb certain roles are bonus eligible.
