From our beginning in the early 1900’s, SPE has grown to nearly 119,000 members in 138 countries. SPE is a 501(c)(3) not-for-profit organization with operations around the world. OTC is a collaboration of 15 non-profit organizations that support the global energy sector. Our organizations work cooperatively to develop and manage a portfolio of events dedicated to accelerating the development and transfer of interdisciplinary offshore technologies. Revenue from our portfolio is returned to our sponsoring organizations which benefit the advancement of their members and the energy sector. THE TEAM The OTC team partners with oil and gas industry leaders to develop the organization’s flagship event. Our team works in a collaborative environment where strong communication and teamwork are essential to our success. OTC staff represent a wide range of stakeholders and reputable organizations with long-standing relationships. A passion for our industry and fostering forward thinking with our team is imperative to our success. THE OPPORTUNITY The OTC (Offshore Technology Conference) Event Specialist supports one of the largest conferences in the world with more than 30,000 attendees on average. Our Specialist implements many aspects of OTC operations in tandem with the OTC Team and OTC Senior Manager. This position works closely with several team members and must have excellent communication, organizational, and multi-tasking skills. You bring at least 3 – 5 years of related experience, ideally working with large meetings and conventions and interacting with volunteer members. Your experience working with budgets – developing, managing and accountability – will be key to success. You are a strong communicator with the ability to provide detailed verbal and written exchange with members, outside vendors, and internal department staff. As a solid multi-tasker, you thrive on constant change, while also being super detailed. THE IMPACT YOU WILL MAKE IN THIS ROLE Award programs implementation and other events related to the Offshore Technology Conference, such as: Distinguished Achievement Awards Program for Houston and Brazil - includes committee management and communication, award process management and operations planning and onsite support. Distinguished Achievement Awards Event International Buyer's Program Young Professionals Event Emerging Leaders Awards Program Closing Reception Logistics coordination: Staff and Vendor Housing, Cost Estimates from Vendors, Staging Guide, Signage, Catering Relationship development with vendors such as NRG Park, Freeman, floral company, photographer, and other related vendors in support of the conference Revenue and sponsorship identification to include new opportunities in coordination with the OTC Senior Manager Cost-savings and financial results responsibility for assigned projects ensuring sound business decisions to control and manage expenses Deadline adherence for the collection of information requirements through coordination with the Conference Programming, Finance, Sales & Exhibits, Marketing and Public Relations Departments. Marketing and program materials production input for internal and external meetings Planning and operations coordination with internal SPE organizations in support of OTC. Registration requirements and logistics coordination, as needed. OTC operations reports – review, monitor and provide feedback as needed OTC website review on a proactive basis to provide information and feedback to Marketing for updating purposes Post-event report development outlining budget reconciliation including documentation of any budget variances either positive or negative. YOUR SKILLS AND EXPERTISE Bachelor’s degree and minimum 3-5 years related experience, or equivalent combination of education and experience Experience interacting with volunteer members in a professional setting is essential Strong facilitation skills and previous work with committees required Possess a high level of communication, both written and verbal with the ability to communicate effectively with internal staff, as well as with external members and vendors Ability to manage financial reporting including budget development and accountability Strong planning and organization skills - detail oriented with the ability to prioritize, establish, and meet deadlines with little supervision ADDITIONAL ATTRIBUTES FOR SUCCESS IN THIS ROLE A good understanding of the Energy sector is preferred, but not required Able to adapt to situations and flex on assigned tasks Highly motivated, team player, personable, collaborative Ability to attend events/meetings as needed including some evening and weekend events (mostly local to Houston) Willingness to work overtime, as required on occasion Ability to travel a minimum of 5% (mostly in the Houston area).
